Position Summary

The Enterprise Physical Operations, Infrastructure, Capital Programs & Real Estate (EPO) department at WashU provides integrated operational, infrastructure, planning, and facility services that support the university’s mission of excellence in education, research, patient care, and community engagement.

EPO manages and supports 28 million gross square feet across 235+ buildings and associated infrastructure systems, encompassing academic, research, clinical, residential, administrative, and support facilities across the university’s campuses and operations. Our teams provide strategic leadership and operational expertise in facility management, infrastructure services, capital project delivery, real estate operations, planning, sustainability, engineering, maintenance, environmental services, public safety support, and enterprise operational services.

Provides assistance to meetings, events, and facility activities that occur in Fort Labs located on WashU's Medical School campus. Main focus is to provide building, client and attendee support via in-person and phone interactions.

This position may require some evening and weekend hours.

Job Description

Primary Duties & Responsibilities:

Building Operations & Customer Support:


  • Serve as the primary point of contact for building occupants, visitors, and vendors, providing responsive and professional support.
  • Manage and respond to building service requests (e.g., access, shared resources, reservations), ensuring timely resolution and follow-through.
  • Provide front desk coverage as needed, including assisting with general inquiries and building access coordination.

Facilities Coordination & Maintenance:


  • Conduct routine building walkthroughs to identify maintenance, safety, and operational issues.
  • Submit, monitor, and track facilities and maintenance requests through completion.
  • Coordinate vendor services and equipment repairs, ensuring timely execution and communication.

Signage & Documentation Support:


  • Create, order, and coordinate installation of office, lab, mailbox, and operational signage.
  • Maintain accurate operational records and tracking systems (e.g., work logs, equipment tracking, key management, and internal operational guides).
  • Monitor and support shared services and resources, including reservations, equipment usage, and storage areas.

Supply & Vendor Management:


  • Manage inventory of shared supplies, including ordering, stocking, and maintaining organized storage areas.
  • Coordinate with vendors to support building operations, including service scheduling and issue resolution.
  • Ensure seamless communication and efficient collaboration with vendors related to the NRB.

Administrative & Operational Support:


  • Support team operations by preparing meeting materials, tracking action items, and providing status updates.
  • Assist in maintaining operational documentation and contributing to process improvements and standardization efforts.
  • Document meeting minutes that clearly capture decisions, defined action items, responsible parties, and deadlines.
