Job Overview
As an Executive Assistant, you’ll be at the heart of a fast-paced, innovative AV integration company, directly supporting a co-owner in streamlining operations and driving business growth. This role offers a unique opportunity to immerse yourself in high-stakes projects, from stadium installations to university AV upgrades. You’ll manage critical communication channels, optimize sales processes, and play a pivotal role in enhancing overall productivity. Responsibilities
- Efficiently manage and prioritize the executive’s inbox, ensuring timely responses and effective communication flow
- Handle incoming sales requests, entering opportunities into the CRM and crafting compelling sales templates
- Assist with pricing strategies by accessing price lists and populating proposal templates for diverse AV projects
- Maintain a robust follow-up system for sales leads, ensuring consistent client engagement and relationship building
- Keep the CRM system up-to-date with accurate client information, project details, and sales pipeline data
- Coordinate across departments to gather crucial information for project proposals and client presentations
- Proactively identify areas for process improvement and suggest innovative solutions to enhance efficiency
- Schedule and organize meetings, conference calls, and travel arrangements for the executive
Requirements
- Exceptional written and verbal communication skills in English
- Proficiency in CRM systems and general office software (e.g., Microsoft Office, Google Workspace)
- Strong organizational abilities with a talent for managing multiple priorities in a fast-paced environment
- Experience in creating and managing sales templates or proposals
- Self-motivated with the ability to work independently and take initiative in a remote work environment
- Familiarity with project management tools and practices
- Adaptability and willingness to learn about the AV industry and its unique challenges
- Ability to maintain confidentiality and handle sensitive information with discretion
- Availability to work full-time, aligned with Pacific Time Zone business hour
