Medical Office Administrator

Position OverviewThe Medical Office Administrator provides remote administrative support to ensure smooth operations and excellent client service. This role involves scheduling, client communication, payment monitoring, and coordination with providers and community organizations. The ideal candidate is detail-oriented, highly organized, and able to manage multiple administrative functions while maintaining confidentiality and professionalism.
Work Schedule
35 hours per week
Monday to Friday, 9:00 AM – 4:00 PM (Plymouth, MA timezone)
Includes a 30-minute paid break each day
Key Responsibilities
Client Scheduling & Communication
Answer incoming calls and assist with scheduling or rebooking new and existing clients.
Review daily schedules to confirm clients are booked and follow-ups are scheduled.
Contact clients regarding no-shows or cancellations to rebook appointments.
Serve as the first point of contact, ensuring professional and compassionate client interactions.
Monitor and ensure payment for services, including cash receivables and payables.
Contact clients with outstanding balances or unpaid copays and collect payments.
Review superbills and payment records for accuracy.
Provide weekly reports on clients needing appointments and those with outstanding balances.
Utilize platforms such as Tebra, Square, DocuSign, Medsender, Payspan, and others to:
Verify payments and transactions.
Review incoming faxes and follow up with providers to ensure documentation is received and completed.
Track and monitor office-related tasks and reports.
Apply HIPAA and crisis de-escalation training when handling patient information and communication.
Assist with documentation filing, prior authorizations with insurance companies, and other administrative duties as needed.
Coordinate with other healthcare providers and community organizations for meetings and collaborative needs.
Requirements
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Familiarity with healthcare systems and platforms (Tebra, Square, DocuSign, Medsender, Payspan, etc.).
Knowledge of HIPAA compliance standards.
Ability to manage sensitive information with discretion and professionalism.
Previous experience in healthcare administration or office administration preferred.
