Scheduling

• Schedule and confirm client appointments
• Assign clinic rooms
• Coordinate and place clinic and at-home referrals
• Confirm therapists’ schedules
• Contact referral sources for placements
• Assist clients and family members either by telephone, electronically or face to face
• Evaluate, respond, and direct all inquiries and complaints promptly and to the designated resource
• Enter and update EMR call log information promptly

Administrative Support

• Answer and route incoming phone calls
• Take, relay, distribute messages
• Distribute incoming mail and deliveries
• Prepare outgoing administrative and client services mail
• Keep forms and office supplies stocked
• Notify operations and systems manager of low inventory or equipment problems
• Tidy and maintain reception areas
• Manage equipment and assessment Check In/Out
• Organize clinic meetings
• Perform routine office tasks necessary for the operation and presentation of a professional clinic

Professional Conduct

• Communicate and conduct oneself appropriately and professionally
• Follow clinic and professional policies and procedures
• Keep supervisor informed of activities, results of efforts, problems or potential problems
• Assist in other duties as needed and directed by supervisor
• Maintain confidentiality of client and clinic related information
• Work to improve efficiency and quality of services throughout the clinic(s)
• Keep up to date on new laws and regulations for clinic and professional compliance
