Accounts Payable Lead

DESCRIPTION:

We are pleased to announce that the Finance division within the State Court Administrator’s Office is looking for an experienced Accounts Payable Lead. This position is responsible for Executing and understanding advanced and complex financial transactions with a high degree of specialized knowledge in accounting policies and procedures.

EXAMPLES OF JOB DUTIES:

The following are examples of major job duties expected for this position to perform.

• Processing invoices through the MJB eFinance System by matching documents with PO#'s. Verifies, codes, posts, documents, and prepares payment of invoices and GAL Volunteer expenses; checks documents for accuracy, completeness, and compliance with contracts, policies, and procedures; enters data; consults with others (such as procurement or budget teams; or supervisor/manager) and then resolves unusual situations or questionable allocation or funding; contacts vendors or employees to exchange information; reconciles accounts; monitors expenditures; maintains records.
• Reviewing financial documents such as statements, invoices, and receiving documents and applying the three-way match process, obtaining applicable approvals entering the invoices in SWIFT for payment and ensuring requests are completed accurately and timely
• Reconciling accounts; examines unpaid voucher records monthly; review interagency invoice queries; verifies payments, prepares accurate and timely reports of financial data and transactions. Receives invoices via mail; prepares materials for upload into the MJB eFinance System. 
• Provides professional level accounting work and technical fiscal advice to Finance AP team, working to answer questions and resolve issues with internal (local and statewide) as well as external stakeholders surrounding policy and procedural issues and complex situations while maintaining exceptional accuracy and timeliness. Responsible for the more complex payments such as but not limited to MN.IT invoices, DHS Background Studies, Minnesota Lawyer annual subscriptions, Central Mail invoices, and phone/copy charges.
• Assist in establishing, revising, and recommending financial policies and procedures.

TYPICAL QUALIFICATIONS:

Any combination of education, training, and work experience which indicates possession of the knowledge, skills, and abilities listed below will be considered.  An example of an acceptable qualification is:

Minimum Qualifications:

• Associate's degree from an accredited college or university in accounting, finance or a related field

• Experience in bookkeeping, collections, or accounting

Preferred Qualifications:

• Experience with Statewide systems such as SWIFT. Experience with internal accounting systems such as the MJB eFinance System.

• Considerable knowledge of computerized accounting, budgeting, and related programs.

Knowledge, Skills, and Abilities:

• Strong Customer Service Skills. Mathematical Aptitude.

• Ability to multitask and handle a high volume and variety of transactions.

• Capacity to think critically and problem solve. 

SALARY RANGE: The expected starting salary range is $27.27 -$34.08 per hour ($56,940 - $71,159 annually). The full salary range for this position is $27.27-$40.89 per hour ($56,940 - $85,378 annually). This position is non-exempt under the Fair Labor Standards Act and is eligible for State of MN employee benefits.

 

SUPPLEMENTAL INFORMATION:

Position Logistics:  

The position is classified as an Accounting Specialist and will work normal business hours, Monday-Friday.  This work will be conducted in a hybrid work environment, with occasional days on-site at the Minnesota Judicial Center in Sait Paul, as business need dictates.
