Position Summary:

The role of Senior Program Associate, Fleet Energy Optimization is to provide administrative and planning support to Marine Operations Technical/Project Managers with the management of Capital Energy Program that entails Machinery, Electrical, HVAC, Hydrodynamics, and other energy efficiency improvement projects, for Royal Caribbean Groups all cruise brands.   This includes, but is not limited to, liaison with both internal/external project stakeholders regarding planning & execution of energy projects, coordinate vendor logistics, maintaining onboard contractor listings, periodically updating project-progress reports, project budget tracking and documentation, maintaining project Business Intelligence tools.  It is envisioned that the successful candidate will grow in skill and confidence to later become self-directing in their duties to support Royal Caribbean Groups Capital Energy Program.  

 

Essential Duties and Responsibilities:

  • Provide administrative support including creating reports, correspondence with the stakeholders, spreadsheets & presentations, compiling statistical report, planning & coordinating projects, filing, processing invoices.       
  • Coordinate project execution plan to align with vessel deployment/drydock schedules. Ensure vendor/riding team cabins are reserved for project execution. Track project material delivery status.      
  • Responsible for all presentation documents required by the department in support of management meetings and project(s) status reporting. 
  • Will be responsible to distribute drafts and collect information from multiple departments and external suppliers, and to collate and organize this into a clear and meaningful presentation under the guidance of project/technical managers.       
  • Responsible for collecting information from multiple individuals involved with the projects both inside and outside of the Company. 
  • Organize, distribute, and follow up on the project(s) reporting and communication, such as roles and responsibilities table, project model and GA poster, risk assessment log, contact list, action log, manning build-up schedule for dry dock, logistics and shipping tracking and reporting, lesson's learned log and project review reports.        
  • Responsible for the recurring project meeting agenda and for taking minutes of meeting resulting from these meetings.
  • Must request and collate agenda items from multiple stakeholders engaged in any given project.      
  • Organizes and maintains all project schedules as related to executive meetings, yard meetings, and other important project meetings and events.       
  • Supervises proper use of directory structure for shared electronic filing and ensures project documentations are received and cataloged.       
  • Assist with the management and data input to the Internal Capital Energy program management tool.       
  • Performs other duties as required.
