Position Summary
The Executive Assistant will serve as the Owner’s key support resource, managing day-to-day communications, scheduling, and operational coordination. This role requires a highly organized and proactive professional who can anticipate needs, handle time-sensitive tasks, and ensure smooth communication between the Owner, customers, and the team.
Key Responsibilities
Administrative & Communication
- Manage the Owner’s calendar, scheduling meetings, jobs, and technician routes.
- Handle incoming calls, text messages, and company email correspondence on the Owner’s behalf.
- Monitor email inboxes and respond promptly to customer inquiries.
- Prepare a daily recap for the Owner summarizing open action items, customer follow-ups, and unresolved issues.
- Schedule jobs and ensure technician route execution in alignment with operational priorities.
- Coordinate with customers to confirm appointments, updates, and service needs.
- Ensure all required parts for scheduled jobs are ordered and received.
- Oversee accounts receivable, track outstanding invoices, and follow up on customer payments.
- Maintain and grow the company’s social media presence by creating, scheduling, and monitoring posts.
- Highlight services, promotions, customer testimonials, and community involvement.
- Assist with basic community outreach activities to promote brand visibility.
- Occasionally assist with onboarding paperwork and HR-related tasks.
- Maintain and organize company files (digital and physical) as needed.
- Uphold the confidentiality of sensitive company, customer, and employee information.
- Proven experience in an administrative, executive assistant, or similar role.
- Strong organizational and time management skills with the ability to multitask effectively.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office, Google Workspace, and ability to learn new systems quickly.
- Comfort using or learning industry-specific platforms (e.g., PoolBrain, QuickBooks Online, Monday CRM, ConnecTeam).
- Professional demeanor and customer service skills.
- Experience in a service-based or franchise environment.
- Social media management experience.
