About the role

BRIEF DESCRIPTION: The Program Coordinator is actively involved in the managed repair programs BluSky has committed to provide excellent customer service.   This includes daily involvement of commercial and residential losses assigned to BluSky.  This is a highly interactive position that is essential to the success of the company's growth within the managed repair program industry.  The Program Coordinator will work closely with the office Vice Presidents, Project Estimators, Project Managers, and Regional Program Directors to ensure key performance measures are being met on a consistent basis.   PRINCIPAL DUTIES & RESPONSIBILITIES:   PROGRAM RELATED TASKS: * Will be familiar with all managed repair program requirements related to: o Initial Contact time o Time to inspect the loss. o Estimate upload times. o Update notes o Documents such as work authorizations and certificates of satisfaction. o Labeled Photos * Will be familiar with managed repair program online systems: o Xactanalysis, Claims Connect, Contractor Dashboard, and AlacNet. o Additional systems as required by the programs. * Will assist on initial contact and scheduling of inspections for PDs/PEs, as needed. * Will assist Program Compliance Managers in the retrieval of office specific information. o Recertifications. o License and Insurance Compliance. o Weekly POM's reports. o Daily Job Tracker Review. o Work with VPs & Program Coordinators on any changes/zip code, trades, deactivations/reactivations, etc. o Review assignments/compliance to program guidelines, assist PM's when needed, troubleshoot and work with program contacts to help resolve. o Password maintenance for shared/branch accounts like Contractor Connection Dashboard.          *Many of these tasks are unique to each branch so they have to be completed for all active branches on residential/commercial work   WORK IN PRODUCTION RELATED TASKS: * Demonstrate a knowledge of the status of every Program project. * Work with on-site Project Managers/Superintendents to deliver the highest possible quality and customer satisfaction.  * Sending and following up with subcontractor bids on projects for PMs/PDs/PEs as needed * Ensure Supplements and applicable change orders are completed by PDs/PEs and get to Project Managers/client in reasonable time frame.  * Verify and assist with all document uploads. * Assist with expediting project change orders to clients.  * Assist with ensuring Supplements are completed by estimators/PDs/PEs and gets to Project Managers/client. * Assist Project Managers/PDs/PEs in completion of projects and other needs necessary to maximize profit.      CUSTOMER SERVICE-RELATED TASKS: * Contact the customer regularly through the project to check on how they feel the project is going. * Be another point of contact in case the PM/PD/PE is not immediately available. * Advise the customer about surveys and the BluSky goal to be rated a 10 on every question. * Ask customers to call if the level of service is not meeting expectation so that BluSky can get concerns addressed as soon as possible.   COMPETENCIES, KNOWLEDGE, SKILLS AND ABILITIES: * Must demonstrate a high level of accuracy and consistent work performance. * Works well in a fast-paced environment with multiple tasks, priorities, and deadlines. * Positive teamwork attitude * Strong problem solving, analytical and multi-tasking skills. * High level of interpersonal skills with the ability to engage in teams and different personality types. * Excellent written and verbal communication skills.   QUALIFICATIONS & REQUIREMENTS: * Managed repair program experience * Must be proficient with Microsoft Office suite with strong Microsoft Excel skills.   EDUCATION: Associate degree in Business Administration or a construction related field preferred, but not required.   WORK ENVIRONMENT & PHYSICAL JOB DEMANDS: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
