Purpose

The TARL Records Assistant works under the supervision of the Head of Records, helping to maintain current records curated in our facility, both physically and via our database, while coordinating with the Registrar for incoming records and forms. They also help process incoming trinomial requests, file search requests, and GIS data requests. The Records Assistant prepares submissions to the TARL library and assists visiting researchers, scholars, faculty and students with access to both our records and library rooms. A knowledge of database and informational system best practices is preferred. The position uses Microsoft Office Suite (including Access) and Adobe Acrobat on a daily basis, so fluency in these programs is optimal. Preferred candidates will also have knowledge of state and federal curatorial policies.

Responsibilities

  • Processes incoming curation records; provides archival services (inventorying, rehabilitation, digitization, etc.) on ongoing rehabilitation contracts and projects. Works on extant records collections as needed (organization, maintenance etc.), bringing them to current curation standards. Updates the repository database system for records department.
  • Processes incoming trinomial requests, site revisits, file search requests, and site form updates. Assists in packaging GIS and TexSite data for quarterly submission to the Texas Historical Commission.
  • Assists visiting researchers in use of records, and facilitates research by students, faculty, professionals, and descendant communities.
  • Aides the Head of Records in supervising and training temporary staff, students and volunteers.
  • Other job duties as needed

Required Qualifications

Bachelor's degree in Anthropology (with focus on archeology) or Archeological Studies or Archival Sciences with four years of experience OR Master's degree in Anthropology (with focus on archeology) or Archeological Studies or Archival Sciences with two years of experience in the archeological field/laboratory. Working knowledge of collections management systems (CMS software) and archival practices. Experience with GIS software. Knowledgeable in the ethics, legal issues, and best practices governing archeological collections and a working knowledge of 36CFR79 and NAGPRA regulations as well as State and Federal cultural resources laws. Proficiency in archeology of Texas and adjacent states of US and Mexico. Proficiency with Microsoft Windows software including Access. Excellent verbal/written skills, ability to work independently and as part of a team, proven ability to communicate effectively with a variety of audiences. Equivalent combination of relevant education and experience may be substituted as appropriate.
