Accounts Receivable Supervisor

Description

We are seeking a hands-on Accounts Receivable (AR) Supervisor to lead our AR operations from our San Diego headquarters. Reporting directly to the Director of Accounting, this role is responsible for overseeing collections, cash application, and account reconciliations—primarily focused on high-value receivables from research institutions, universities, and government-funded organizations. The ideal candidate is assertive, and highly organized, with strong communication skills.

Key Responsibilities:

• Supervise and execute day-to-day AR operations, including billing, collections, cash application, and account reconciliations
• Lead a small AR team, providing direction, mentoring, and performance oversight
• Oversee collection strategies for complex and high-dollar accounts, including universities, research centers, and international customers
• Manage and monitor letter of credit (LC) transactions, ensuring all documentation and timing requirements are met for smooth payment processing—particularly for customers based in China
• Collaborate across departments (Sales, Customer Service, Contracts) to resolve billing issues and maintain strong client relationships
• Analyze and maintain aging reports, DSO metrics, and prepare regular AR reports for leadership review
• Identify and drive process improvements to enhance AR efficiency and cash flow
• Support month-end close, audits, and special finance projects as needed

Requirements

• Minimum 5 years of progressive AR experience, including 2+ years in a supervisory or lead role
• Demonstrated success managing collections from domestic and international customers, including letter of credit (LC) payments from customers in China
• Proficient in ERP/accounting systems and Excel
• Excellent communication, negotiation, and problem-resolution skills
• Highly detail-oriented and self-motivated with a continuous improvement mindset
