Primary Duties

 

The Associate Director Workplace Operations role will assist with the successful assessment and delivery of Spark Therapeutics’ strategic objectives, portfolio analysis and planning, data collection and evaluation, cultural assessment, and change management. This position will collaborate with various cross functional teams to ensure that the company’s workplace supports the company's goals, culture, and the well-being of its employees. The candidate will be analytical, organized and process driven with excellent attention to detail and will play a pivotal role in shaping the physical work environment of the organization.

 

Responsibilities

 

Workplace Strategy:

  • Manage developing and executing a strategic plan for the workplace that aligns with the organization's objectives, culture, and business needs while taking a holistic approach to the diversity, equitability, and inclusivity of employees, contractors, and vendors.
  • Manage 3rd party vendor relationships for workplace including contracts, purchase orders, invoicing, and close out process.
  • Manage Vergesense utilization software and create monthly reports to be shared with CPSO and CPO.
  • Promoting and implementing environmentally friendly practices within the workplace, such as energy-efficient technologies, waste reduction, and sustainability initiatives.
  • Collaborate with Chiefs of Staff to understand their team workspace needs and preferences and provide thought leadership in the area of workplace strategy through knowledge sharing.
  • Assist programming efforts, and the development of program space requirements.
  • Participate in all aspects of workplace research, execution, and analysis (observational research, data gathering, workshops, interviews, and surveys), and use the information to make informed decisions and improvements.
  • Work with project teams to implement strategy through planning and design concepts, optimizing use of the company’s real estate portfolio, and create a cohesive and integrated workplace and experience for all employees.
  • Assist with cross-functional teams, including internal stakeholders and design team, and external architects, engineers, contractors, and vendors, to execute projects efficiently.

Facility Management:

  • Work with the Corporate Facilities and Shipping & Receiving Operations Leader to assist with workplace asset lifecycle and strategic upgrade initiatives.
  • Develop and maintain a workplace asset management system to improve efficiency and reduce cost.
  • Manage new hire seating requirements and track workplace inventory.

Project Management:

  • Lead workplace development and construction projects from initiation to completion, ensuring adherence to timelines, budgets, and quality standards.
  • Monitor progress on construction sites, address any issues or delays, and ensure project milestones are met.
  • Develop and maintain project plans, schedules, and budgets, identifying cost-saving opportunities when possible.
  • Identify potential risks and develop mitigation strategies to minimize project disruptions.
  • Communicate project progress, updates, and milestones to senior management and relevant stakeholders.
  • Ensure compliance with local, state, and federal regulations related to workplace construction and accessibility.
  • Oversee the handover process and ensure the successful transition of the workplace to the end-users.
  • Address post-construction issues, warranties, and maintenance needs as required.

Health and Safety:​​​​

  • Liaise with Environmental Health and Safety and Corporate Security to ensure compliance with health and safety regulations, as well as implementing workplace safety protocols.
  • Develop and implement measures to promote employee well-being and track with measurable KPIs to gage success.
  • Ensure that all workplace projects and construction activities adhere to safety and environmental regulations.

Employee Engagement:

  • Foster positive relationships with internal teams, implement programs and initiatives to enhance employee engagement, satisfaction, and retention through the workplace environment.
  • Utilize employee feedback, focus groups and other data to insure the employee’s voice is heard and they feel included in the development of the workplace environment.
