TITLE: Payroll Technician
CLASSIFICATION: Classified Hourly Salary Schedule
REPORTS TO: Supervisor of Payroll
SUMMARY: The Payroll Technician provides technical support for district payroll operations to ensure employees are paid accurately and on time. This position is responsible for processing payroll data, maintaining payroll records, supporting compliance with applicable laws and district policies, and assisting employees and departments with payroll-related questions and issues.
PERFORMANCE RESPONSIBILITIES:
1. Provide technical support to the Payroll Supervisor by performing payroll processing and related fiscal tasks to ensure accurate accounting and reporting of payroll costs to appropriate district funds.
2. Review employment contracts, pay authorizations, and personnel action documents to ensure proper pay rates and assignments are accurately reflected in the payroll system.
3. Import and reconcile data from the timekeeping system into the payroll system to ensure accurate and timely payroll calculations.
4. Audit and validate payroll input data to ensure accuracy of payroll reports, financial records, and employee leave balances.
5. Review payroll transactions and supporting documentation for compliance with district policies, procedures, and accuracy standards.
6. Enter payroll data, perform required calculations, and generate accurate payroll and related financial reports.
7. Maintain up-to-date payroll records including ePARs (electronic Personnel Action Requests), account coding, and employee deductions.
8. Process payroll deductions and prepare remittances to appropriate agencies for employee and employer contributions.
9. Manage direct deposit transactions including new enrollments, changes, and cancellations; maintain payroll deduction records and process change notices.
10.Complete Verifications of Employment (VOEs) and prepare payroll-related documentation as requested by the Payroll Supervisor.
11.Assist with fiscal year-end payroll processes including system updates, reconciliations, and rollover adjustments.
12.Respond to inquiries from employees, supervisors, HR, and Finance regarding payroll procedures, pay issues, and payroll records.
13.Maintain confidentiality of payroll and employee information in accordance with district policy and legal requirements.
14.Attend trainings and professional development to remain current on payroll systems, regulations, and procedures.
15.Perform other job-related duties as assigned.
EDUCATION:
High school diploma or equivalency required.
EXPERIENCE:
Three-years related office or payroll processing, financial data entry, accounting support, or related work required.
SKILLS/KNOWLEDGE/ABILITIES:
• Strong oral and written communication skills.
• High level of English proficiency for professional communication and documentation.
• Ability to clearly explain payroll procedures and requirements to employees and staff.
• Experience with payroll processing preferred.
• Proficiency in computer applications including word processing, spreadsheets, and database systems.
• Strong attention to detail and ability to work with a high degree of accuracy.
• Ability to prioritize tasks, meet strict deadlines, and make independent decisions.
• Ability to exercise discretion and maintain confidentiality of sensitive payroll and employee information.
WORKING CONDITIONS:
The working environment is the normal office setting.
TERMS OF EMPLOYMENT:
Twelve-month year, classified hourly salary schedule, employee benefits in accordance with Board policies.
EVALUATION:
Performance to be evaluated in accordance with Board policy on evaluation of classified staff.
