About the role
Womble Bond Dickinson (US) LLP, an AmLaw 100 firm, is seeking a full-time Office Assistant to join our dynamic team in Tysons, VA. This position requires a warm, friendly, self-motivated individual who is highly organized, service-oriented, and a team player with superior written, verbal, and interpersonal skills. The role involves a blend of administrative, support services, and hospitality-focused responsibilities that contribute to the overall efficiency and welcoming atmosphere of our office.
RESPONSIBILITIES:
- Provide a welcoming atmosphere when greeting and directing clients and visitors to conference rooms for meetings and events.
- Assist the Support Services team with processing and distributing mail, packages, and courier runs.
- Support the Records team with file management, including entering records into the management system and handling off-site storage logistics.
- Operate high-volume copy machines for document duplication, scanning, binding, and conversion to electronic formats.
- Setup and breakdown of conference rooms for meetings, placing catering orders, and ensuring all spaces, including the kitchen and common areas, are clean and well-stocked.
- Maintain inventory and purchase office consumables and kitchen supplies.
- Prepare offices for new personnel with name plates and supplies.
- Process vendor invoices and office-related expenses using ChromeRiver and reconcile credit card statements.
- Maintain relationships with vendors and building security, ensuring smooth operation of office equipment and services.
- Prepare daily office bulletins, maintain office related documents, and assist attorneys and support staff on various projects and events.
- Perform other administrative duties as assigned, contributing to a collaborative team environment.
REQUIREMENTS:
- A college degree and law firm experience are preferred.
- Possess exceptional customer service skills with high attention to detail and the ability to work independently in a fast-paced, deadline-driven environment.
- Strong communication and problem-solving skills, with proficiency in MS Outlook, Word, and Excel.
- Must be able to push, pull, and lift up to 50 lbs.
- Must have valid driver’s license and available vehicle to conduct courier runs.
- Punctuality and satisfactory attendance are imperative.
