Description
The Purchasing & Receiving Clerk plays a critical role in ensuring the accuracy, quality, and safety of all incoming food and beverage deliveries. This position is responsible for verifying shipments, monitoring temperatures, documenting discrepancies, and organizing inventory according to best practices. The ideal candidate is detail-oriented, dependable, and comfortable working in a fast-paced environment. This is a hands-on role that supports both daily operational flow and the integrity of our food service supply chain.
Essential Duties and Responsibilities
- Receive all deliveries from food and beverage vendors.
- Cross-check all items against invoices upon delivery, except for GFS orders (due to size).
- Take and record daily truck and product temperatures at the time of delivery.
- Perform random weight checks on catch-weight items (e.g., fish, meat, cheese) to ensure correct quantities.
- Check temperatures of potentially hazardous items (e.g., meat, fish, fresh chicken) using the QR code system.
- Log all shellfish using the QR code system.
- Carefully inspect all produce for quality before accepting delivery.
- Return any item that is missing, of poor quality, or damaged directly to the truck.
- Complete the Credit Log for all returned items.

Sign and date all invoices.
- Submit completed invoices to the office and place in the designated folder.
- If any product is returned or missing, notify Management, so they can follow up with the vendor and update the credit log.

- Prioritize putting away cooler and freezer items first.
- Freezer pallets can be temporarily stored in the outdoor cooler until ready.

- Follow this order when storing products:
- Cooler items
- Freezer items
- Dry goods
- Cooler items
- Use FIFO (First In, First Out) method: older items in front, newer items in back.
- Check expiration dates on dairy products (milk, cream, egg products) to ensure freshness.
- Place dry goods on shelves after cooler/freezer items.
- Submit all shellfish tags to Todd for proper documentation.
- Clean and organize the storeroom daily.
- Inspect for and remove expired products (chips, soda, popcorn).
- Identify and remove dented cans; place them on the loading dock for Forgotten Harvest.

Sweep daily and mop weekly.
- Check and record cooler temperatures before the end of the day.
- Handle chemical inventory and operational items ordering with GFS on Fridays, Tuesdays, and Thursdays.
Daily inventory must be completed by 1:00 PM each day.

Skills, Knowledge & Expertise
- Must be able to lift at least 50 lbs.
- Position requires attention to detail, accuracy, and the ability to work in a fast-paced environment.
- Familiarity with QR code systems and FIFO inventory management is preferred.
- Previous experience in food and beverage industry
