Reporting to: Head of Treasury (Primary) with a dotted line to Vice President of Operations, Development Division
Job Brief:
The Development Division at ONE Sotheby’s International Realty is seeking an experienced and detail-oriented Transaction Director to oversee and manage commission payments for our agents selling high-end luxury developments. This pivotal role requires a deep understanding of real estate transactions, exceptional organizational skills, and the ability to work collaboratively across teams to ensure smooth and accurate processing of commission payouts.
As a critical member of the Development Division, the Transaction Director will manage the end-to-end transaction process, ensuring compliance with agreements, accuracy in calculations, and timely communication with all stakeholders.
Responsibilities
- Transaction Management:
- Oversee the processing of all transactions within the Development Division, ensuring accuracy and compliance with agent agreements and project contracts.
- Review and verify commission structures outlined in project agreements and agent ICAs (Independent Contractor Agreements).
- Track and manage all development-related sales transactions from contract execution through closing.
- Commission Payouts:
- Calculate and process agent commission payments, ensuring timely and accurate disbursement.
- Work closely with finance and accounting teams to reconcile commission payouts and ensure alignment with budgets and contracts.
- Address and resolve any discrepancies or issues related to commission payments in a professional and efficient manner.
- Balance and reconcile agent draw balances against commission balances on a weekly basis to ensure accurate records and alignment.
- Collaboration and Communication:
- Serve as the primary point of contact between the Development Division and agents regarding transaction and commission-related matters.
- Liaise with sales directors, project managers, and developers to ensure all transaction-related documentation is accurate and up to date.
- Provide agents with detailed transaction updates and commission statements as needed.
- Direct communication with the contract administrator for the respective projects (internal or external).
- Compliance and Reporting:
- Ensure compliance with all local, state, and federal regulations related to real estate transactions and commission payments.
- Prepare regular reports on transaction status, commission payouts, draw balances, and related metrics for leadership.
- Maintain accurate and organized transaction records in line with company policies and industry standards.
- Process Improvement:
- Identify opportunities to streamline transaction processes and improve efficiency in commission payouts.
- Collaborate with internal teams to implement new tools, systems, or workflows to enhance the transaction management process.
- Collaborate with the accounting team to accurately reflect draw/credit adjustments.
Requirements
- Experience:
- 5+ years of experience in real estate transaction management, with a strong focus on luxury residential developments (development sales experience).
- Proven track record of managing commission payments and working with sales agents in a fast-paced, high-volume environment.
- Skills & Competencies:
- Exceptional organizational and time management skills, with the ability to handle multiple transactions simultaneously.
- Strong analytical skills, with a keen eye for detail and accuracy in calculations.
- Excellent communication and interpersonal skills, with the ability to work effectively with agents, developers, and internal teams.
- Solutions-oriented mindset with a proactive approach to problem-solving.
- Technical Expertise:
- Proficiency in real estate transaction management software and tools (e.g., Dotloop, Skyslope, or similar platforms).
- Advanced knowledge of Microsoft Excel and financial reporting tools.
- Familiarity with commission structures, ICAs, and contract terms in the luxury real estate sector.
- Preferred Qualifications:
- Bachelor’s degree in Business Administration, Real Estate, or a related field.
- Experience working in a luxury real estate brokerage or development company.
- Knowledge of Florida real estate law
