The Corporate Aviation function focuses on time savings for the CEO, other members of the Senior Management Group, the Board of Directors and significant outside guests. Scheduling, prioritizing, and ensuring the timely transportation of these individuals is the critical function of this role. This individual must have a high level of technical computer knowledge as well as skills in operating various computer software programs. This person must be capable of working in a quickly changing, fast paced environment.
Key pieces of this opportunity include responsibilities for tracking the availability of the corporate aircraft and supplemental resources, scheduling, and monitoring progress of flights, conducting post flight recordkeeping duties and compiling data for reporting purposes.
RESPONSIBILITIES:
- Plan, schedule, and coordinate the efficient worldwide utilization of aircraft and flight crews, along with our supplemental resources and to provide direct support for the corporate aviation travelers.
- Assign flight crewmembers to scheduled trips to assure proper distribution of flight time and to meet federal aviation regulations recent experience requirements.
- Coordinate and book ground transportation for all passengers and crew members for each flight.
- Provide each passenger with a detailed flight itinerary for every trip supported by the corporate aircraft or by supplemental resources.
- Maintain close coordination with pilot staff and maintenance manager to confirm availability and currency of flight crews and aircraft.
- Provide support to hangar staff by booking all travel arrangements and providing traveler with an itinerary.
- Maintain the computer scheduling system by in-putting crew information, trip logs, crew rest, flight crew currency, crew accommodations, airport information changes and other similar functions involving the use of the computerized aircraft scheduling system.
- Coordinates the scheduling of flights for the Corporate Angel Network.
- Responsible for tracking and maintaining statistical data for preparation of monthly management information reports.
- Ensure effective communication of all details of the schedule with the maintenance, flight crews and hangar staff.
The ideal candidate will have:
The incumbent requires keen analytical skills. Excellent communication talents are also required including negotiating and persuading abilities. Writing skills for reports and reviews are crucial. A thorough understanding of the technical aspects of aviation is required, particularly as it relates to corporate aircraft and crew limitations, aircraft operating characteristics an availability and convenience of airport or heliport locations.
QUALIFICATIONS:
- Minimum of five+ years travel related or aviation operations experience.
- Reliable and thorough in executing duties with acute attention to detail.
- Strong customer service orientation with executive presence.
- Excellent interpersonal skills with ability to perform in a high stress environment.
- Extensive knowledge of computer hardware and software, including Windows and Microsoft Office 365. PFM Scheduling Software desirable.
- F.A.A. Dispatcher’s License desirable.
- Must be willing to be on call as needed given critical travel needs which may occur during evening or weekend hours.
