What you'll be doing

As an Administrative Assistant, you are responsible for providing administrative support to ensure efficient operation of the office. This role will provide direct support to the Head of the Central Region and the Business Effectiveness Manager on a variety of tasks, including managing calendars, making travel arrangements, handling confidential and time sensitive office communications, and preparing documents. In addition, there will be interactions with multiple teams through a variety of tasks while ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality in a timely manner. They act as a point of contact supporting and servicing high net worth clients, contributing to a positive and productive environment. This position is a great opportunity to learn the investment business in a professional, dynamic work environment.

How you'll succeed

  • Communication Management: Greets clients, answering phones, screening calls, and directing inquiries to the appropriate personnel. Handling incoming and outgoing mail, emails, and faxes. 

  • Scheduling and Coordination: Managing calendars, making travel arrangements, scheduling conference rooms, and coordinating meetings.

  • Record Keeping: Maintaining databases (Salesforce), updating information, and ensuring accurate record-keeping. 

  • General Support: Providing general administrative support to staff, assisting with projects, and contributing to a positive work environment. 

  • Assist in Coordinating CIBC marketing events: Monitor attendee lists, assist with Salesforce campaigns, connect with venues and vendors to execute events for employees and clients

  • Client Entertainment Tickets for RMs and BDOs: Provide back up for ticket management

  • Holiday Gifts: Coordinate holiday gifts to be sent out for Business Development Officers and Relationship Managers

  • Marketing Material Requests: Order business cards and CIBC branded materials for employees and events

Who you are

  • Strong organizational and time management skills: Ability to prioritize tasks, multi-task, manage multiple deadlines, and maintain an organized workspace.

  • Excellent communication and interpersonal skills: Ability to communicate effectively with colleagues, clients, and other stakeholders via phone and email. Will play a key part in supporting and servicing high net worth clients and prospects

  • Proficiency in relevant software and technology: Including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Salesforce and other relevant applications.

  • Attention to detail: Accuracy and thoroughness in all tasks are crucial.

  • Problem-solving and critical thinking skills: Ability to identify and resolve issues, find solutions to administrative challenges, work without direction and independently in solving problems.

  • Discretion and confidentiality: Handling sensitive information with professionalism and discretion. 

  • Collaboration: Ability to work in a team environment, and work well with multiple internal teams and external clients

  • Experienced: Minimum 2-4 years of relevant experience

  • MS Suite experience: Experience with Microsoft Office Word, Outlook, PowerPoint and Excel
