The Unassigned Secretary provides word processing and administrative support to attorneys in various practices when assigned secretary is out of the office or unavailable.  Assists with projects and overflow work.

Responsibilities

Essential Functions: 

 

  • Document production, prepare letters and memos
  • Phone support
  • Prepares expense reimbursement requests
  • Collaborates with the Finance Department to process billing requests as needed
  • Coordinates conflicts checks and opening of new matters
  • Coordinates travel arrangements
  • Schedules and coordinates meetings
  • Handles and/or coordinates photocopying and scanning
  • Organizes and maintains legal correspondence and document files according to Firm process and systems
  • Opens, sorts and processes attorney mail
  • Transcription (e.g., from digital files)
  • Performs other duties as assigned or required to meet Firm goals and objectives

 

Qualifications

Education/Training/Certifications:

  • High School diploma or equivalent required
  • Associates or bachelor’s degree preferred

 

Professional Experience:

  • 1+ years of previous clerical experience in a legal environment required

 

Technical Skills: 

  • Typing of 60 WPM preferred
  • Proficiency in Microsoft Office products

 

Performance Traits: 

  • Strong written and verbal communication skills, able to communicate effectively and in a professional manner with all levels of the Firm and outside vendors
  • Ability to work in a diverse team environment and effectively support the demanding needs of the Firm
  • Ability to work under pressure, meet deadlines with shifting priorities
  • Must be a self-starter with a high level of initiative
  • Strong customer service skills, able to anticipate needs
  • Strong attention to detail, organizational skills and the ability to handle multiple projects
  • Maintains confidentiality and exercises discretion
  • Exercises solid strategic thinking and problem-solving skills

 

The typical pay scale for this position is between $50,300 and $66,600, although the actual wage or salary could be lower or higher if the candidate’s education, experience, skills and internal pay alignment are different from those specified.
