POSITION SUMMARY

Salary Range: $21.99 to $30.58

 

The Breast Health Services Coordinator responsible for the patient care coordination which lays the groundwork for the patient’s breast health care within the organization. Responsible for most administrative tasks in the BHS department including, but not limited to, the following: operating multi-line telephone systems, customer service, registration and scheduling duties, service ambassador, mail services, ordering department supplies and promotional items to ensure smooth flow of day-to-day services. Uses excellent customer service skills and if needed, interpreter services, to call patients to schedule exams, give preparation instructions, and appointment reminders. Provides support for mobile mammography as needed with site coordination, set up, and email communications. 

Reports to the Diagnostic Imaging Manager and performs various other duties that require strong organizational skills, good judgement and self-initiative.

 

KEY RESPONSIBILITIES

Performed majority of the time -- please start with the responsibilities that are the most time consuming:

·       Supports the practice by providing excellent customer service to patients and to community businesses and clinics, demonstrating professional communication on the phone, e-mail and in face-to-face customer contact, problem solving, and functioning as a team member to other staff.

·       Places reminder calls and emails to patients and assists in scheduling call backs.  

·       Effectively utilizes several computer systems, such as EMR & Synapse, to obtain and document information. 

·       Coordinates volunteers within the clinic. 

·       Demonstrates confidentiality according to PHI regarding patient and co-worker information.

·       Obtains signatures on legal consents and insurance forms, enters demographic and insurance information according to service provided, patient need, payer requirements and hospital policy. 

·       Collects appropriate co-pays or deposits.

·       Participates in development and implementation of outreach and marketing strategies to physicians, payers, and community to create greater demand for services.

·       Communicates with all other entities in the medical center.

·       Serves as a resource person for mobile mammography services.

·       Manages supplies for offices and clerical areas.

Performed occasionally but critical to successful performance of the job:

·       Orientates and Coordinates Volunteers in Breast Clinic

·       Drives Mobile Mammography unit to sites and sets-up structure for the day as needed. Filling in as needed to cover vacations and/or sick calls. 

·       Trains and assists staff in mobile operations, including scheduling maintenance and documentation of maintenance or issues. 

Decision making and budget responsibilities (e.g. impact limited to the employee, entire unit or organization-wide):

·       No budget responsibilities but helps the Manager with the budget planning for the unit.

Education:

Required

Preferred

·       Associate degree or higher preferred.

 

Experience:

Required

·       Office administration experience.

 

Preferred

·       Breast Health Clinic or Mammography experience

·       Prior medical office administration experience

 

Licenses, Certifications and/or Registrations:

Required

·       Drives a Tuality owned vehicle as part of their job and is considered a Category A driver.  Must have a valid driver’s license and be at least 21 years old with minimum of two years’ experience in the type of vehicle being driven.  Must have a satisfactory driving record which is defined as no more than one accident and two moving violations or two accidents and one violation or no accidents and three violations on or off the job within the past 36 months, and no conviction for driving under the influence of intoxicants (DUII), license suspension, auto felony convictions or other serious violations within the past 36 months.. This employee must complete a defensive driving course within the first 90 days of employment and annually thereafter.
