Since 1994, SPORTIME has been proud to operate the finest tennis and sports facilities in New York State. SPORTIME’s 20 club locations most recently expanded to include the iconic Port Washington Tennis Academy, now SPORTIME Port Washington. SPORTIME currently offers 192 indoor and outdoor tennis courts and 131 pickleball courts, as well as rinks, turf, camps, gyms and more, at sites across Long Island, in NYC, in Westchester and in the NY Capital Region. SPORTIME clubs are state-of-the-art, yet affordable, and feature the best tennis, pickleball, sports and camp facilities and programs, including the John McEnroe Tennis Academy (JMTA) and SPORTIME Volleyball Club (VBC). SPORTIME clubs serve individuals of every age and athletic ability, 365 days a year.

Sportime is seeking a highly organized and proactive administrator to join our team. The ideal candidate will manage the day-to-day administrative operations of the tennis department, ensuring smooth and efficient functioning. This role requires excellent communication, multitasking and organizational skills, and a passion for and knowledge of tennis.
Sportime currently owns and operates 12 tennis facilities and this role is at the heart of connecting and communicating with the coaches and Directors of Tennis to maintain a structured reporting system and a consistent flow of information

RESPONSIBILITIES
Event Coordination:
- Manage the company's global tennis events calendar
- Assist in planning and executing events and special programs
- Schedule and coordinate monthly seminars for parents and players
- Liaise between directors and coaches to ensure proper representation at tournaments including
- Player tracking
- Travel arrangements
- Monitoring expense reporting
- Collection and distribution of player reports
- Track program deliverables to ensure that they are executed in a timely, consistent and professional manner
- Communicate with directors and participants to ensure seamless program delivery
- Manage event registrations, logistics, and communication with participants
- Oversee monthly Directors meetings including
- Scheduling
- Preparing documentation such as meeting agenda and sending reminders
- Taking and circulating minutes post meeting
- Recording and tracking follow up on action items
- Collate and track weekly Director reports
- Plan quarterly Tennis Directors in-person meetings
- Assist in coordinating coaches training including
- Booking facilities
- Confirming schedules and attendees
- Collating registers of attendees
- Maintaining records of coach certifications
- Track and manage coach education qualifications and standards including Safeplay and liaising with outside education partners
- Provide updates for coaches via the Company’s Coach app
- Ensure the app content is current and accurately reflects ongoing programs, initiatives and events
- Provide updates to the app regarding achievements, results and global tennis information
- Assist in the creation of staff bios and ensure that they are regularly updated
- Liaise with outside organizations to ensure that Sportime coaches have opportunities for professional development
- Bachelor’s degree in Sports Management, Business Administration, or a related field
- Proven experience in administrative roles, preferably within a sports or educational environment
- Excellent organizational and multitasking skills.
- Strong written and verbal communication abilities
- Proficiency in Google Suite and Microsoft Office Suite
- Basic understanding of Wordpress would be advantageous
- Passion for tennis and knowledge of the sport is a must
