The Boeing Company is looking for a Senior Executive Assistant & Office Administrator to join the Engineering & Technology Innovation (E&TI) organization supporting the supporting the Vice President of E&TI and Chief Technology Officer (CTO) in Everett, WA or Arlington, VA. We are looking for someone who is flexible and able to support early East Coast working hours. 

The ideal candidate is energetic, anticipates needs, proactively addresses conflicting priorities, and has high emotional intelligence.

Position Responsibilities:

  • Coordinates and processes domestic and international business travel arrangements, monitors designated business traveler's logistics, generates expense reports and assists in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verifies payments to corporate credit cards

  • Coordinate and process domestic and international business travel arrangements and documentation (e.g. visa/passport, health, customs, cultural protocol) and continually monitor travel logistics

  • Establish a strong network and arrange destination support (e.g. hosts, field office, security) by coordinating with the appropriate local contacts

  • Ability to work closely with the CTO Office to prioritize, coordinate meetings and events related to customers, business partners, leadership team members, and engagements that are a function of the office

  • Track and maintain information relative to department and business operations

  • Verbally communicate a wide variety of information to multiple audiences

  • Process incoming and outgoing communication and correspondence to ensure proper dissemination of information

  • Coordinate with the appropriate focal(s) to support the acquisition and maintenance of resources; order and maintain office supplies

  • Create and implement business resources (e.g. desk procedures, phone lists, contact lists) as reference tools for administrative support

  • Provide guidance to less experienced employees

  • Work under minimal supervision

  • Interface with other assistants and coordinate with functional and business leaders in execution of activities to support the overall E&TI activities

  • Assist leadership and team on day-to-day activities as necessary in a demanding fast-paced work environment

Basic Qualifications (Required Skills/Experience):

  • This position must meet U.S. export control compliance requirements. To meet U.S. export control compliance requirements, a “U.S. Person” as defined by 22 C.F.R. §120.62 is required. “U.S. Person” includes U.S. Citizen, U.S. National, lawful permanent resident, refugee, or asylee

  • 4+ years of work experience in an Administrative Assistant, Executive Assistant or Office Manager role

  • 4+ years of experience coordinating executive travel; including use of travel and expense reporting software

  • Outstanding written and verbal communication skills, as well as excellent interpersonal and team skills

Preferred Qualifications (Desired Skills/Experience):

  • High energy, highly motivated, self-starter with the ability to take initiatives forward to completion with focus on high quality results

  • Strong in creating a motivating and outstanding work environment with high people’s skills

  • Ability to work with large virtual teams, adapt and remain flexible in approach to accomplish the greater team goals, with the Boeing team across different locations and time zones

  • Demonstrated experience with Boeing tools and systems for this function. Understanding of Boeing processes such as, and not limited to: Outlook, travel expense report system and other relevant day-to-day tools

  • Positive attitude and strong ethic, willing to take on assignments and ensure they get completed

  • Ability to work independently

  • Ability to prioritize work and manage time effectively
