About the role
We are seeking a detail-oriented Contract Accountant to join our Accounting team. In this role, you will be responsible for managing all aspects of contract billing and financial recordkeeping, with a strong focus on collaboration with Operations, accuracy, and timely reporting.
Key Responsibilities
- Collaborate with Operations to ensure accurate and timely billing for contract and janitorial extra charges.
- Process all invoicing activities and accounts payable related to contracts and independent contractors.
- Maintain and update the contract database, including setups, changes, terminations, and assignments.
- Manage the Growth Chart to monitor contract expansions and company growth.
- Prepare and process contract invoices and maintain accurate contract files.
- Handle performance bond preparation and submission for applicable contracts.
- Perform monthly reconciliations for sales tax, in-house labor, and floor care schedules.
- Process daily customer invoicing and record cash receipts and deposits.
- Set up new customers, vendors, contractors, and contracts.
- Handle accounts receivable collections and provide customer support.
- Process accounts payable and issue payments.
- Manage payroll and ensure timely processing.
- Reconcile all balance sheet accounts monthly to ensure accuracy.
- Generate financial statements and ad hoc reports.
- Ensure compliance with local, state, and federal financial regulations, including sales tax filings.
- Manage and reconcile credit card statements, identifying and disputing unknown or incorrect charges.
- Handle reimbursement of owner’s non-business card expenses and prepare check requests.
- Assist with clerical and administrative support for management.
- Respond to tenant concerns and coordinate resolution for rental properties.
- Perform various office management tasks as needed.
Requirements
- 3–5 years of experience in accounting support roles (billing, AP/AR, reconciliation).
- Strong proficiency in Microsoft Excel and Office Suite.
- Familiarity with automated accounting systems (Dynamics Business Central preferred).
- Skilled in Adobe Acrobat for document handling.
- High attention to detail, strong organizational skills, and the ability to multitask.
- Ability to lift up to 25 lbs.
- Regular use of a PC and phone communication.
