Executive Assistant

We are hiring two entry-level Executive Assistants based in Denver and San Francisco to support senior leaders across the business. These roles are built for someone who is proactive, organized, and calm under pressure, and who can effectively support leaders who are distributed across time zones. You will be a trusted partner who keeps leaders focused, schedules running smoothly, and details handled without needing to be chased.

This role is based in Denver or San Francisco with an expectation to work onsite three days per week to collaborate with local teammates and build strong operating rhythm, while supporting leaders who may be in other locations.

What You'll Do:

Calendar Management: 

  • Strategically manage complex calendars across multiple time zones, balancing priorities, focus time, and stakeholder needs.
  • Coordinate internal and external meetings, ensuring the right attendees, preparation time, and clean logistics.
  • Anticipate conflicts and resolve issues independently, using sound judgment and clear communication.

Travel Coordination: 

  • Arrange and manage domestic and international travel, including flights, hotels, ground transportation, and schedule alignment.
  • Proactively account for time zones, meeting agendas, buffers, and potential disruptions.
  • Provide executives with clear itineraries and quick updates while traveling.

Meeting Readiness and Follow Through: 

  • Partner with leaders to ensure meetings are set up for success, including agendas, pre reads, notes, and action items as needed.
  • Track follow ups, deadlines, and deliverables, and help keep momentum across stakeholders.
  • Maintain strong coordination with cross functional partners to keep work moving.

Administrative Support:

  • Handle confidential information with discretion and professionalism.
  • Draft and edit correspondence, presentations, and business documents.
  • Complete expense reporting and reconciliation in a timely manner, ensuring policy compliance.
  • Take initiative on administrative needs without waiting to be asked, adapting quickly when priorities shift. 

Special Projects and Team Collaboration: 

  • Support ad hoc projects that improve team execution, leader effectiveness, and operational clarity.
  • Partner with other admins to share best practices, streamline workflows, and provide coverage when needed.

What We're Looking For: 

  • 3 plus years of experience as an Executive Assistant or similar role, supporting multiple senior leaders in a fast paced environment.
  • Comfortable supporting leaders and stakeholders across multiple time zones, with strong asynchronous work habits.
  • Exceptional organization, prioritization, and time management.
  • Strong written and verbal communication, with confidence interacting across levels.
  • High attention to detail, with consistent follow through.
  • High proficiency with Google Workspace and Slack, including Google Calendar, and familiarity with Workday, Gemini, and travel and expense tools such as Navan, Concur, or similar.
  • Baseline proficiency using AI tools, for example Gemini, to support drafting, summarization, and organization, with strong judgment around confidentiality and accuracy.
  • Sound judgment, ability to anticipate needs, and ability to independently drive work to completion.
