About the Department
Job Summary
This role requires gaining specific knowledge and understanding of the University of Chicago and UChicagoGRAD's mission, along with avenues needed to achieve office goals. The position should understand the trajectory of graduate education from application and matriculation through graduation and beyond.
The Operations team in UChicagoGRAD has an in-office presence daily across normal business hours but does offer flexibility for individual remote days that support full operational coverage. Additionally, operations members are cross trained and must keep open, ongoing communication to ensure redundancy and continuity of service across the team.
Responsibilities
Supports comprehensive administration for UChicagoGRAD teams and initiatives to include both one-time and ongoing projects.
Initiates financial transactions via university systems, monitors to completion.
Researches and navigates complex issues that may require multiple parties to resolve. Escalates as appropriate.
Handles GEMS expense reconciling for staff.
Assists team with coordination of daily projects for the department, maintain general office supply inventory, point of contact for resolving any issues concerning equipment or space. Help facilitate special events and conferences.
Communicates primarily to internal clients, occasionally vendors, developed either through job-related training and some on-the-job experience.
Performs other related work as needed.
Minimum Qualifications
Education:
Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).

Experience:
Knowledge and skills developed through 2+ years of work experience in a related job discipline.
Technical Skills or Knowledge:
Familiarity with standard tools and software – MS Office suite (MS Office Word, Excel, PowerPoint, Outlook).
Must acquire and maintain expert level knowledge of UChicago financial policy and systems; must keep abreast of policy and system changes.
