Job Description
Our Manufacturing Operations teams are the people that make our products. We work in the manufacturing plants with a “Safety First, Quality Always” mindset striving for continuous improvement. We work in the local plant connected to our global manufacturing network to ensure the highest quality of raw materials, intermediates and finished products.
Performs administrative/clerical tasks supporting the West Point Quality Control Laboratories including direct support of the lab leadership team. Responsible for coordination of individual team and laboratory wide activities and communications. Maintain laboratory business systems and is responsible for execution of standard operating procedures.
Primary activities will include:
Function: Under the supervision of Director(s)/Manager(s), performs secretarial, clerical administrative and related duties.
Equipment: Fax, duplicating equipment, printer, computer, teleconference/video equipment, delivery services, laminator.
Responsible for fundamental administrative/clerical duties requiring analytical ability, independent judgement and problem solving skills.
Review priorities with management as necessary.
Responsible for mail distribution and collection, phone coverage, copying, scanning and basic expense reports and/or routine financial disbursements via SAP.
Requires basic knowledge and understanding of SOPs for the organization and Division, as well as, specialized terminology commensurate with the position.
Interact with internal and external customers.
Transcribe, record, assemble, track, verify and maintain accuracy of data/ electronic records and spreadsheets.
Coordinate regular travel arrangements, basic domestic and international.
Write or answer routine correspondence as directed.
Maintain daily calendars, (meeting scheduling), teleconferencing, conference room scheduling and video conferencing, accepting on behalf of management.
Maintain databases, general and department or Division specific applications.
Regularly perform independent basic research via basic internet and intranet searches used to prepare analysis, presentations and reports.
Utilize SAP for ordering, expensing and purchase orders.
Multitask daily.
Support the HR hiring process by scheduling interviews and onboarding employees and contract staff.
Assist with special projects and other duties as assigned by the department as needed.
Education Minimum Requirement:
High School Diploma or equivalent
Required Experience and Skills:
Able to work independently
Proficient with Microsoft Office applications (Word, Excel, Outlook, PowerPoint, Visio, Access)
Minimum three (3) Administrative Assistant experience
Preferred Experience and Skills:
Previous experience with laboratory support
