About the role

Position Summary: 

The American Hotel & Lodging Association is seeking an Executive Assistant to perform a wide variety of executive-level administrative tasks in support of the EVP, Federal and Political Affairs & Counsel, EVP, External Government Affairs & Industry Relations, and EVP, Marketing and Communications. The successful candidate will play a pivotal role in ensuring the seamless coordination of schedules, travel arrangements, and day-to-day tasks to facilitate the efficient functioning of three (3) members of the AHLA executive team. 

Responsibilities: 

  • Coordinate and manage the complex schedules of three EVPs, including arranging meetings, appointments, and ensuring optimal time management. 
  • Organize and coordinate department-wide meetings and strategic planning meetings. 
  • Liaise with event organizers to obtain collateral materials for events where the EVPs will be presenting or participating in panels, ensuring all necessary materials are available and organized. 
  • Oversee the logistics of onsite meetings, ensuring all necessary resources and materials are prepared in advance. Collaborate with relevant stakeholders to coordinate meeting requirements. 
  • Facilitate the timely submission and accurate tracking of expense reports for the three EVPs, adhering to company policies and procedures. 
  • Collaborate with contractors, vendors, and internal government affairs department to acquire documentation and address discrepancies related to accounts payable.
  • Plan and book domestic and international travel arrangements, including flights, accommodations, and transportation, ensuring an efficient and comfortable travel experience. 
  • Maintain schedule of administrative responsibilities of EVPs and the department, including personnel reviews, and staff meetings. 
  • Assist in preparing information and materials for EVPs for Board of Directors meetings. 
  • Communicate with other departments to maintain positive internal relations, and to obtain needed information and support. 
  • Work closely with the Executive Assistant to the President/CEO and the Executive Assistant to the COO and President of the Foundation to ensure seamless communication and coordination across the executive team. 

Requirements

Education and Experience: 

  • Proven experience as an Executive Assistant or in a similar administrative role. 
  • Bachelor’s Degree required 
  • 5 - 7 years: *Minimum of 5 years of senior-level administrative support experience is required 
  • Advanced Microsoft Office suite experience (Outlook, Word, Excel and PowerPoint) skills required

  • Knowledge of trade association structure 
  • Customer-service focused. 

Other: 

  • Position located in Washington, DC area. 
  • Rotating hybrid work schedule: In-office Tues-Thurs and Mon-Thurs every other week.
  • Salary: $80,000-$90,000
