Summary
Associate role supporting the Global Policy and Government Affairs Strategy team within Global Policy and Government Affairs (GPGA). Perform highly diverse and complex administrative functions, including but not limited to proactive calendar management, meetings scheduling, domestic and international travel arrangements, preparing expense reports and creating/editing PowerPoint presentations.
Schedule and manage recurring/ad hoc meetings including but not limited to Direct reports, Internal/External Stakeholders, Matrix functions, key external stakeholders including but not limited to global organizations, think tanks and policy organizations, third party coalitions.
Support team budgeting processes in conjunction with GPGA team, including but not limited to support in developing annual budget, detailed build out of budget, quarterly tracking of budget, and inputs into BMS finance reporting templates
Demonstrate flexibility in personal work schedule to provide support during team’s domestic and international travel.
Timely obtain Weekly Highlights from Global Policy and Governement Affairs Strategy LT members and compile/format for review by manager.
In line with company SOPs, process 1) SAP/Ariba entries, purchase orders generation, payment including yearly membership dues to organizations, 2) vendor and consultant contracting.
Anticipate needs of manager and/or team, and take appropriate steps with minimal assistance from supervisor to produce desired outcome with accuracy and efficiency to meet all deadlines.
Interface in a professional manner with BMS senior executives/matrix team members as well as work in a group setting with the LT administrative staff.
Represent team and engage in a professional manner with external organizations about meetings, travel and budgetary issues, as necessary
Handle confidential information with discretion and demonstrate diplomacy/good judgment in sensitive situations.
Anticipate key issues and implement action plans based on changing priorities and commitments. Be able and willing to adapt to constant change and have the ability to quickly course correct when necessary.
Exhibit a positive work attitude, high productivity and a collaborative approach with other employees across the company.
Prioritize activities/take action based on an understanding of department objectives, customer needs and BMS strategy.
Anticipate and create contingency plans to deal with possible problems and roadblocks.
Requirements
Successful candidate must possess at least 5 years of administrative experience mostly supporting an executive.
Bachelor’s degree preferred.
Experience working with teams preferred.
Candidate must demonstrate strong interpersonal skills in dealing with all levels of management internally and externally.
Strong communication skills including excellent verbal and written skills.
Proven ability to handle sensitive information with confidentiality, discretion & good judgment.
Must have the ability to take initiative/adapt to frequently changing priorities.
Ability to work and think independently with ability to analyze and solve complex problems with good judgment and provide high quality work with attention to detail.
Proactive, solution-oriented approach to collaboration with strong decision-making capability in order to guide assigned project to successful conclusions.
In depth knowledge of company internal systems, policies and procedures.
Candidate must be proficient in Microsoft Office (including Word, Excel and PowerPoint), Outlook, Concur, Purchasing systems, SharePoint and WorkDay.
