Lead Accounts Payable Assistant

Starting Pay Range: $20 - $25/hr

What does a Lead AP Assistant do?                                            

• Receives, separates, and distributes Accounts Payable invoices. Distributes invoices without PO’s to requesting department for approval. Reviews all requisitions for proper account numbers.
• Effectively assists the AP Manager. Assists Accounts Payable Assistants and Accounting Assistant with challenging invoices. Effectively reviews invoices and data entry processed by staff. 
• Demonstrates knowledge of all duties of the AP Assistants and Accounting Assistant.
• Demonstrates the ability to independently handle challenging invoices.
• Effectively and accurately answers all questions from vendors and departments relative to payment of invoices.
• Accurately processes weekly check runs and close to the General Ledger.
• Always runs reports required to prove weekly figures and ensure that everything is in balance. Demonstrates the ability to accurately run any requested account analysis report.
• Effectively and accurately resolves all unforeseen problems as they occur.
• Consistently processes invoices with numerous errors or those requiring special handling. Maintains accuracy of computer data by appropriately adjusting or voiding invoices and/or checks that are incorrectly issued/entered.
• Accurately places account codes on all approved invoices that are without a PO and accurately separates invoices that require further approval.
• Accurately codes and processes all construction invoices for payment.
• Always takes responsibility for making sure Team Members are trained/ developed in Accounts Payable Operations. Monitors work load to develop efficient training, break and shift schedules.
• Prepares self for a leadership role. Attends all training classes designed for Supervisors.
• Effectively handles all administrative paperwork in the absence of the AP Manager.
• Assist with implementing process improvement procedures and systems.  Effectively participates in testing and training.

 

To be successful as a Lead AP Assistant, you'll need:

• Associates degree or High School Diploma/Equivalency with related experience.
• 2 years of previous accounts payable experience.
• Excellent organizational skills.
• College accounting and computer courses preferred.
• Leadership qualities and the ability to effectively guide/ coach/ correct/ train co-workers as needed.
• To be process improvement focused and have knowledge of automation systems.
