The Office Manager is responsible for overseeing office operations, facility maintenance, and administrative functions to ensure a well-organized, efficient, and safe workplace. This role involves coordinating office administration, procedures, and building upkeep while managing a wide range of executive support tasks.

WHAT YOU’LL BE DOING (% of Time)
Office Operations (40%)
- Oversee daily office operations, ensuring administrative needs are met and acting as the main point of contact for internal and external stakeholders.
- Manage office supplies, equipment, and inventory by placing orders, monitoring stock levels, and ensuring operational efficiency; handle ad hoc tasks as needed, including errands and supply runs.
- Coordinate meetings, events, and visits, including travel arrangements, catering, room bookings, and on-site setup.
- Research and negotiate with venues and catering providers; manage supplier relationships and procurement of office necessities (e.g., stationery, business cards, equipment, vending, courier services, hotel accommodations).
- Ensure the office is clean, organized, and fully functional by overseeing maintenance, cleaning services, and general facility upkeep.
- Plan and organize internal office events and employee-related activities to foster team connection, strengthen company culture, and drive employee engagement.
- Manage office budget and expenses; track spending, ensure cost-efficiency, and handle vendor contracts and invoice processing.
- Ensure effective communication and coordination across teams; implement and maintain office procedures and policies.
Executive Administrative Support (40%)
- Coordinate and manage travel arrangements including booking domestic and international flights, lodging, and transportation.
- Manage calendars by scheduling and prioritizing meetings across time zones, avoiding conflicts and aligning with business needs.
- Prepare and submit expense reports in a timely and accurate manner, ensuring compliance with company policies.
- Create PowerPoint presentations with key messages for executive meetings, leadership updates, and team communications, ensuring clear and visually effective content.
- Provide general administrative support, including preparing reports, correspondence, and miscellaneous projects.
Facility Maintenance, Building Security & Safety (20%)
- Manage building security, including access control and distribution of access cards and office keys. Ensure safety and security measures align with company policies.
- Administer the badge access system, enforcing company guidelines and removing access for separated employees.
- Collaborate with EH&S to develop evacuation plans, conduct annual drills, and ensure compliance with health and safety regulations.
- Maintain agreements for office equipment and supplies, ensuring cost-effective maintenance and pricing.
- Oversee facility maintenance, repairs, and office layout planning. Manage facility-related expenses.
- Serve as the primary liaison with building management for offsite needs, including coordination of conference room reservations, office moves, or utilizing spaces outside our designated office areas.
