Job Description


The Senior Associate Athletic Director for Facilities and Operations serves as a senior member of the Athletics and Recreation leadership team and provides strategic leadership for athletics facilities, event operations, scheduling, transportation, budget management, game administration, and assigned sport programs.



Leadership and Department Administration


• Serve as a member of the Athletics and Recreation Senior Administrative Team, contributing to strategic planning, policy development, departmental initiatives, and operational decision-making.

• Assist in the development, implementation, and assessment of departmental goals, policies, procedures, and performance standards.

• Represent Athletics and Recreation on University committees, institutional working groups, and external organizations as assigned.

• Provide leadership, mentorship, and professional development support to coaches and administrative staff.

• Prepare reports, assessments, operational analyses, and presentations for senior leadership.

• Perform additional duties as assigned by the Assistant Vice President and Director of Athletics and Recreation.


Facilities Operations and Capital Planning


• Direct the daily operation, maintenance, scheduling, and long-term development of all Athletics and Recreation facilities.

• Lead facility improvement initiatives, including renovations, capital projects, equipment upgrades, and facility enhancement efforts.

• Collaborate with University Facilities, contractors, and external vendors to coordinate preventive maintenance programs, work orders, and repair projects.

• Monitor facility conditions and operational readiness to ensure safe, functional, and high-quality environments for all users.

• Develop recommendations for capital investments and facility improvements that support departmental growth and strategic priorities.

• Ensure compliance with institutional policies, safety regulations, accessibility requirements, and risk management standards.


Budget and Resource Management


• Assist in the development, oversight, and administration of operating budgets for facilities, transportation, game operations, equipment, and assigned functional areas.

• Monitor expenditures and financial performance, ensuring responsible stewardship of departmental resources and alignment with strategic priorities.

• Prepare budget projections, financial analyses, and operational reports.

• Manage purchasing, procurement, and vendor selection processes.

• Negotiate and oversee contracts, service agreements, and vendor relationships.

• Identify operational efficiencies, cost savings, and resource optimization opportunities.

• Collaborate on annual budget planning, capital project funding, and long-range financial planning.

• Evaluate facility, equipment, and operational needs and make capital recommendations.

• Ensure compliance with institutional financial policies and internal controls.


Facility Scheduling and Event Management


• Oversee the scheduling and coordination of all Athletics and Recreation facilities for varsity athletics, recreation programs, camps, clinics, institutional events, and external rentals.

• Manage facility utilization and scheduling priorities to maximize efficiency while minimizing conflicts.

• Serve as the primary liaison regarding scheduling and event logistics.

• Develop and implement procedures that enhance event execution, customer service, and facility utilization.

• Ensure proper staffing and coverage for all external rentals.


Transportation and Travel Operations


• Direct all aspects of departmental transportation and travel planning.

• Coordinate transportation schedules for team travel, recruiting activities, and departmental initiatives.

• Manage transportation vendor relationships.

• Administer the transportation budget, including forecasting, expense tracking, contract oversight, and cost-control initiatives.

• Develop travel-related policies, emergency procedures, and contingency plans.

Game Operations and Officials Administration

• Serve as the primary administrator on duty for home contests on a rotating basis.

• Collaborate with event management staff for confirmation that all home athletic contests, scrimmages, and alumni events are staffed appropriately.

• Assist with facility preparation, event organization, and support services.

• Manage scheduling, communication, contracting, and payment processes for game officials.

• Ensure all contests are conducted in compliance with NCAA, conference, and institutional regulations.
