JOB SUMMARY

 

Works within the vision, mission and philosophy of the agency.  Provides clinical and administrative support for psychiatric and psychological services, including but not limited to receiving and processing psychiatric evaluation, psychological evaluation and risk assessment referrals; maintaining provider schedules; obtaining routine health histories, vital signs and other information in preparation for office visits; maintaining electronic health records; and completing follow-up activities such as referrals and prescriptions. Responsible for maximizing provider efficiency through effective clinic management.

 

RESPONSIBILITIES AND DUTIES

 

1. Provide administrative support to psychiatrist(s)/nurse practitioner(s)/psychologist(s).

2. Process referrals and schedule Initial Psychiatric Evaluation and follow-up appointments; actively manage schedule to minimize unscheduled time and no-shows.

3. Take and record customer Vital signs (requires Vital Signs Certification). 

4. Coordinate psychiatric appointments with direct service staff.

5. Track and coordinate the completion of psychiatrist-specific clinical forms, e.g., Medication Service Plans, TARs/pre-authorizations, JV220-A/B, JV-223, verification of services and rating scales. Prepare drafts of these documents in coordination with psychiatrist.

6. Coordinate with hospital staff regarding discharge planning.

7. Coordinate services with PCPs and other professionals.

8. Contact pharmacies for new and refill prescriptions, receive and process refill requests, work with pharmacy staff to resolve questions.

9. Manage Medi-Cal and other insurance medication pre-authorizations.

10. Request interpreter services.

11. Assist providers with any IT problems.

12. Contact customers to confirm appointments

13. Facilitate provision of clinical information to psychiatrist/nurse practitioner/psychologist. This includes obtaining relevant external records, tracking lab results, identifying relevant internal records, and doing brief, structured interviews with customers before appointments.

14. Engaging positively with customers as “the face” of psychiatric and psychological services.

15. Other routine support activities

 

OTHER DUTIES AND RESPONSIBILITIES

 

1. Driving to appointments with clients and their families or other key contacts.

2. Physical interactions with children of variable ages such as but not limited to games, sports, and other activities.

3. Performs other related responsibilities, as assigned to support specific department/business needs.
