The purpose of the Maintenance Administrator is to provide comprehensive administrative support to ensure efficient and effective operations within the maintenance department. By handling a wide range of administrative tasks, the Maintenance Administrator enables the team to focus on core business functions, ultimately contributing to the overall success and productivity of the organization.
You will learn ATI processes and work collaboratively with cross-functional teams, including a represented workforce, safety, engineering, quality, environmental, continuous improvement, and maintenance.
Primary Responsibilities
- Provide administrative support to ensure efficient departmental operations, including scheduling, correspondence, and calendar management.
- Maintain accurate electronic and physical records in compliance with company and regulatory requirements.
- Perform data entry, reporting, and KPI tracking to support operational and business decisions.
- Manage procurement of office, safety, and tool supplies through Oracle.
- Support employees with system access, training coordination, troubleshooting, and maintenance of personnel records.
- Coordinate safety activities, compliance documentation, EHSQ audit support, and safety reporting.
- Organize meeting and event logistics, including catering coordination.
- Create and manage SharePoint sites to support document control and collaboration.
- Administer labor related documentation, attendance tracking, rosters, bid books, and contractual reporting.
- Facilitate clear departmental communication and support continuous improvement initiatives in partnership with operations.
- Other duties as assigned.
Qualifications
Basic Qualifications
- High school diploma or equivalent.
- 3+ years of administrative experience supporting operations, maintenance, or technical teams in an industrial environment.
Preferred Qualifications
- Associate degree in Business Administration, Office Administration, Operations Management, or a related field
- Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) and enterprise systems (e.g., Oracle, SAP).
- Experience working in a unionized manufacturing or maintenance environment
- Prior experience supporting maintenance departments, including work order systems, attendance tracking, or craft labor coordination
- Experience managing or supporting SharePoint sites or other document collaboration platforms
- Familiarity with EHSQ systems, safety scorecards, or audit support processes
- Experience coordinating apprenticeship programs, bid processes, or personnel movement
- Advanced Excel skills (pivot tables, formulas, tracking dashboards)
Knowledge, Skills, and Abilities
- Knowledge of administrative practices in an industrial or maintenance environment; working knowledge of ERP systems (e.g., Oracle, SAP), document control, and records management.
- Understanding of maintenance and operations workflows, terminology, and unionized environments, including collective bargaining and labor-related processes.
- Proficiency in Microsoft Office and SharePoint; ability to accurately enter, analyze, and present data and reports.
- Strong organizational, time-management, and problem-solving skills with the ability to manage multiple priorities and identify process improvements.
- Effective written and verbal communication skills; ability to collaborate professionally across departments, levels, and external partners.
