About the role

The Assistant Director of Event Management is responsible for event management of (including post-season activity) of assigned sports. The position will also provide secondary event support per the Senior Director of Event Management. 

 

The position will oversee athletics parking operations for assigned Neyland Stadium, Food City Center, and all athletics lots/garages in support of Senior Associate AD, Facilities and Event Operations (and leadership team), while working with department, campus and third-party leadership, staff, and stakeholders to ensure success for each athletics home and/or special events.

Baseball & Golf Event Manager:

  • Responsible for the planning & execution of baseball and golf events and creating & implementing a comprehensive operations plan for assigned events to include working with facility & operations leadership and all internal and external departments to ensure execution of all assignments & aspects of the event. Some departments/stakeholders include fan engagement, sports medicine, video/radio and television, game officials (per SEC and NCAA regulations), facility/grounds, concessions, table crew(s), volunteers, event staff, security, medical UTPD, etc. 

  • Work closely with each team’s sport administrators, coaching & operations staff(s) in conjunction with facility & event operations leadership to ensure all events are organized, and in compliance with SEC/NCAA guidelines, while serving as the main point of contact for visiting teams. Act as the/a lead tournament manager for assigned SEC & NCAA championships associated with those sports.

 

Other Athletics/Special Events:

  • Serve as secondary event support for other athletics and special events as assigned by the Senior Director of Event Management and/or Senior Associate Athletics Director of Facilities & Event Operations. This individual will work closely with event management leadership and the athletic department and third-party staffs to ensure all events are organized, and in compliance with SEC/NCAA guidelines. Individual supports the lead event and tournament manager for assigned SEC & NCAA championships.

  • Assist in football game operations and/or Neyland Stadium or events & duties as assigned.

 

Parking & Traffic Operations:

  • Oversee athletics parking operations for assigned Neyland Stadium, Food City Center, and all athletics lots/garages in support of Senior Associate AD, Facilities and Event Operations & leadership team. 

  • Serve as athletics liaison to parking services/third-party leadership & staff assigned to parking areas. Assist with pregame staff briefings, lot assignments, equipment distribution, and operational updates. Ensure parking lots are properly staffed, signed, and prepared prior to opening. Work with sign shop & partnerships for updating lots accordingly annually.

  • Gameday Oversight & Support: Monitor vehicle ingress and egress meetings (and alignment) to support safe and efficient traffic flow. Verify that parking credentials, permits, passes, and access procedures are followed. Serve as a point of contact for parking-related questions, issues, and guest concerns. Communicate regularly with event management staff, public safety, transportation, and parking leadership. Identify and report safety concerns, traffic issues, guest conflicts, or operational needs.

  • Work with office ADA/Accessibility and Parking Services to ensure lot & garage numbers align with state and national requirements. 

  • Support all ADA parking, donor parking, team/staff parking, media parking, and other designated areas as assigned.

  • Miscellaneous (Parking) duties: Help maintain clear emergency access routes, pedestrian pathways, and restricted areas. Respond professionally to guest concerns and resolve issues when appropriate. Assist with post-game traffic flow, lot clearing, equipment collection, and operational recaps. 

  • Support Facilities and Event Operations Leadership & teams, as assigned.

 

Budget and Post-Event/Annual Reports; Policies and procedures; Office/Equipment:

  • Communicate successfully with Senior Director of Event Management regarding presentation of proposed expenses and operating budgets; pre and post event management reports detailing operational pros and cons; 

  • Process payroll and work orders, as appropriate. 

  • Support presentation of year-end event management internal evaluations.
