About the role

Job Summary

The primary objective is to provide support to Accounts Payable and Tax Accounting within BSNA, including Business Licenses, Fleet, Property Tax, and Accounts Payable.   This position will also serve as backup to the Mail Services Admin in their absence.

Duties and Responsibilities

  • Reviewing all tax mail and routing to appropriate internal individuals responsible
  • Tracking all outgoing mail activities on a spreadsheet
  • Coordinate with internal team members on priority items and ensure timely action to meet deadlines
  • Receive/Scan all checks received and send them to the appropriate email box or shared location
  • Receive various types of business license renewal forms and identify/sort/organize them into batches for later use. Receive/Scan license renewals and send to the appropriate email box
  • Prep outgoing mail for checks, license renewal certificate/permits
  • Receive various types of property tax documents and identify/sort/organize them into batches based on use later
  • Receive/scan tax assessments, bills, and receipts by bottler to shared drive location
  • Receive critical tax payment checks, often amounting to $$ millions
  • Receiving due diligence letters and organizing them by bottler and scanning to the appropriate email box
  • Receiving checks and routing them to appropriate special handling addresses
  • Prepping outgoing mail for High $ and State return checks along with appropriate correspondence
  • Receiving RPOs organizing them and scanning them into TrackerPro software
  • Role Responsibilities as a backup to Mail Services Admin:
  • Open, sort, and scan all incoming mail to the various BSNA finance departments
  • Delivering electronic, and physical mail as applicable, to the appropriate business partner daily
  • Organize documentation and package outgoing mailings, including completing required tracking/log reports
  • Identify appropriate delivery method (USPS FedEx, etc.) and calculate postage for outgoing mail

Education Requirements

Minimum - High School Diploma or GED Equivalent

Years of Experience

3-5 years finance or accounting experience

Required Travel

Travel is not expected in this job, however, employees may be asked to drive to the Post Office as needed.  Must have a valid Drivers License 

Work Environment

This position requires candidates to work in office 5 days per week.
