Job Profile Summary:

Manage and administer the Faculty of Arts Internship Office. Set strategic goals for the Office and ensure the goals are being met and carried out. Set long-term and short-term objectives, including objectives for a number of students and a number of internships for the faculty. The manager is responsible for the planning and implementation of administrative policies and procedures in support of the Faculty of Art's vision, mission and objectives regarding internships.

Typical Responsibilities

  • Develop and foster internship partnerships in Canada and overseas with host organizations.

  • Work with University Advancement (UA)Team to secure funding to support internships and support the Arts Internship Office. This will involve a presentation to donors.

  • Responsible for donor stewardship for the Arts Internship Office in coordination with the UA team.

  • Develop a strong working relationship with the Arts Undergraduate Society( AUS), and ensure student funding for the AIO continues.

  • Responsible for all financial reporting and oversight of various budgets and funds. Including, managing the internship awards

  • Maintain good rapport with all faculty units to ensure that the internship program meets academic needs; ensure that communication is clear at all levels.

  • Develop and implement procedures to enhance the operation of the office, in areas such as funding, health and safety/legal issues, and academics.

  • Oversee plan and conduct workshops, information sessions and annual events.

  • Identify and outline needs and provide support in the delivery of services, including publicity to promote student awareness of internship opportunities and funding.

  • Participate in the development and implementation of new initiatives that support the Faculty of Art's strategic vision, by keeping abreast of new developments and trends such as internship programs at other universities in Canada and abroad. Stays on top of emerging trends and best practices in other universities in relation to internships.

  • Identify and outline needs and provide support in the delivery of services, including publicity and branding to promote student awareness of internship opportunities and funding.

  • Implement administrative procedures that require complex analysis and decision-making, setting forth recommendations to the Faculty of Arts.

  • Represent unit at internal and external meetings. Liaise with McGill internship and career offices, and share best practices.

  • Sets and directs workflow priorities. Leads and represents the Arts Internship Office in the day-to-day operations of the faculty, ensuring consistency of practice and maintenance of optimum service levels.

  • Manages and reviews internal office procedures in light of Faculty and student needs and evolving policies. Anticipates problems and requirements and develops methods and procedures to resolve and/or accommodate these and to ensure the effective functioning of the system.

  • Responsible for identifying the staffing needs of the unit and establishing the best staff complement to deal with a diverse student body. Participate in drafting job descriptions, recruitment, training and the onboarding processes for new staff.

  • Develops, recommends and implements operating and other budgets. Authorize expenditures and ensure compliance with University and Faculty budget priorities.

  • Ensures that all relevant documentation prepared by the Arts Internships Office is up to date and accurately reflects University and Faculty policies and procedures.

  • Recruitment strategies for targeted programs. Provides leadership for the pursuit of students’ Outreach to a diverse student body.

  • Assumes the lead role in liaising and fostering collaboration with internal and external partners, other Faculties, central services, etc.
