We are looking for an organized, proactive, and detail-oriented Licensing & Permitting Coordinator to join our team at our Center City Philadelphia HQ. This full-time role is ideal for someone early in their career, whether a recent grad or an individual looking to pivot into the construction and development world, who’s eager to gain hands-on experience in permitting, compliance, and operations.
In this position, you’ll support day-to-day license and permit management for our existing locations, while also helping to coordinate permits for new bakery openings. You’ll partner closely with our Construction and Facilities teams and collaborate cross-functionally with departments and external vendors to keep projects moving and ensure regulatory compliance.

Job Responsibilities:
- Manage and track business licenses, health permits, and other regulatory filings for all Insomnia Cookies bakery locations
- Coordinate permit acquisition for new store openings, partnering with internal and external stakeholders
- Work closely with CSC Global to ensure accurate, timely filings and documentation
- Collaborate with District Managers, Regional Directors, and SMEs to gather and submit required documentation
- Communicate with local and state agencies to monitor application statuses, resolve issues, and maintain compliance
- Maintain detailed records of licensing activities, including renewal calendars, permit logs, and compliance updates
- Provide general administrative support for the Construction and Facilities teams (e.g., document tracking, vendor coordination, reporting support)
- Establish a regular reporting cadence and follow escalation processes to ensure timely compliance across all locations
Desired Skills & Qualifications:
- Bachelor’s degree in Business, Public Administration, Urban Planning, Project Management, or a related field
- Prior experience in administrative support, operations, permitting, or regulatory work (internships and part-time roles welcome)
- Strong organizational and time management skills with acute attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and work independently in a fast-paced environment
- Proficient in Microsoft Office, Google Workspace, and project/task management tools
- Interest in foodservice, retail operations, or construction/development is a plus
