Personal Assistant to Director - Corporate Affairs

Embark on a journey of change with MAS, by joining the MAS Holdings team – Battaramulla – as Personal Assistant to Director - Corporate Affairs to provide administrative and secretarial assistance to the Group Director/ CEO/ Director to facilitate confidential services through effective co-ordination and operational efficiency. 

Key Responsibilities

  • Attend to all correspondence and provide administrative support required by the Group Director/ CEO/ Director, maintain and deliver required documentations and proofreading e-mails in order to facilitate Group Director/ CEO/ Director’s operational effectiveness.
  • Assist the Group Director/ CEO/ Director in planning, allocating and managing their time, by prioritizing activities by managing their calendar and coordinating with relevant counterparts on scheduling meetings by well understanding the priorities, and avoiding conflicts.
  • Provide administrative support required by the Group Director/ CEO/ Director and the management team in order to facilitate smooth functioning by scheduling meetings, arranging logistics and follow up on any action items in a timely and accurate manner.
  • Administer and coordinate the performance assessment process for direct and indirect reports of the Group Director/ CEO/ Director, preparing required document packs for the appraisal meetings, by scheduling the meetings, following up to ensure all forms have been completed and peer/ other feedback is received in a timely manner so as to facilitate the timely and effective completion of the performance review process for relevant persons.
  • Coordinate business travel arrangements for the Group Director/ CEO/ Director as well as the management team/ guests of the company as required by liaising with travel agents and internal travel coordinators (includes visas, itinerary, hotels, transport, insurance, corporate expenses) pre and post travel to ensure submission of travel expense claims, cash reimbursements are executed as per the corporate governance policy in adherence to set timeline in an accurate manner.
  • Coordinate the company/ department’s periodical events, staff outing, annual dinners, board meetings and other ad hoc events by liaising with the relevant internal and external stakeholders.
  • Provide effective communication of business information to relevant stakeholders as and when required by the Group Director/ CEO/ Director, whilst ensuring the utmost confidentiality and discretion.

Qualifications, Experience, Skill and Competencies:

  • Diploma in secretarial practices
  • 3-4 years’ relevant work experience
  • Excellent verbal and written communications skills Proficiency in necessary IT applications
  • Effective planning and coordination skills, with attention to detail. Networking and social skills.
