Primary Function
Daily duties will include invoicing, data entry, filing, bottle prep, receiving water samples from walk in customers, US mail, and other shipping services, requesting and recording information provided by the customer for scheduling inspection services related to real estate transactions, scheduling field staff, prepare documents related to the inspection to assist field staff. Assist customers with questions regarding water testing and other services provided by the Clean Water Testing.
Responsibilities
Prepare sales orders and invoices for services rendered.
Resolve discrepancies in accounting records.
Makes appointments and coordinates meetings for staff using an online calendar system.
Compiles budget data from financial records; prepares claims; maintains records of budget transfers; establishes filing system for accounts payables, purchase orders, and equipment inventory; maintains and controls confidential employee or departmental files; schedules maintenance of office equipment.
Composes correspondence, reports, forms, and other documents independently or from transcribing machines, notes, or general instruction from supervisor and staff.
Greets and refers clients and visitors.
Answers main telephone system, makes referrals, takes messages, and directs incoming calls appropriately.
Other duties as deemed necessary
Preference will be given to candidates with a working knowledge of the SAP, and Microsoft Access.
The ideal candidate will have excellent verbal and written communication skills.

Qualifications
- High school diploma or GED
- 6+ monts related work experience
- Proficiency with MS Office, especially MS Excel or other spreadsheet software
- Strong communication skills, both written and orally
- Ability to maintain a high level of professionalism and confidentiality
- High attention to detail and ability to prioritize and multi-task
- Basic math skills
Additional Qualifications
- Associate’s Degree or formal training in Business or Accounting or other related area preferred
