Who you are:

  • High school graduate
  • Three or more years of proven work experience in a customer service position, preferably as a concierge, front desk, or related position
  • Multi-line telephone console experience is strongly preferred

Job Summary:

The Residential Concierge/Receptionist is responsible for performing receptionist duties in both the Sur and Norte lobbies of the facility. He/she will answer incoming and inter-facility calls, greet and direct residents and visitors, respond to emergency call panels and situations, and perform routine office and support work for staff and residents. This position requires a working knowledge of the activities performed at each reception desk. The Residential Concierge/Receptionist is responsible for orienting reception new hires as well as training the reception team on any new policies and procedures. The Residential Concierge/Receptionist is expected to project a professional, customer service demeanor at all times. This position provides administrative support to the Director of Administrative Services including but not limited to, maintaining contact lists, handling logistics for administrative office equipment, scheduling meetings, main contact for Casa Guest Rooms, and oversight of the SARA system.

Essential Job Duties:

Reception Staff

  • Performs receptionist duties in Sur and Norte lobbies, as assigned.
  • Train all reception new hires on policies, procedures etc.
  • Review receptionist duties with reception staff on a regular basis to ensure staff is appropriately trained.
  • Train reception staff on any new procedures or policies.
  • Assists Director with scheduling of reception staff.

Sur Reception

  • Performs receptionist duties including but not limited to: answering phones, greeting visitors and residents, answering questions, registering visitors, monitoring lobby security etc. Interacts with residents, visitors, staff and vendors in a courteous and efficient manner.
  • Monitors annunciator panels for emergencies and fire alarms and monitors panels for appropriate time. Responds quickly and appropriately in accordance with facility policies and procedures.
  • Monitors and updates SARA (PET alarm) system and maintains SARA supplies.
  • Produces a daily PET pendant low battery report and follows up with residents to arrange batter replacement. Provides report to Physical Plant and Security when task completed.
  • Facilitates annual PET pendant testing.
  • Monitors and ensures Resident Face Sheet Binder is up to date.
  • Provides guest unit reservations, registration, and check out. Keeps track of monthly guest room spreadsheet and submits details to accounting and Executive Director.
  • Maintains resident census reports.
  • Coordinates information distribution between reception desk and departments as appropriate.
  • Posts emergency information on “Touchtown”

Transportation

  • Dispatch and coordinate multiple Drivers to ensure that all transportation needs, including resident appointments, activities, and other outings, are responded to promptly and effectively.
  • Plan, coordinate, and resolve problems relating to resident pick-up and drop-off.
