Job Description Summary

Organization Summary Statement:
This position supports the administrative and academic functions of the Associate Dean / Department Chair (AD/DC) and the Graduate Student Director in Veterinary Medicine.



Responsibilities:
Administrative:                                                                           
Manage administrative and academic functions as assigned by the Associate Dean / Department Chair (AD/DC), including coordinating meetings and calendars, arranging travel, and serving as a liaison between AD/DC and other administrative offices of the AGNR College, UMCP campus, and the Virginia-Maryland Regional College of Veterinary Medicine.  To hold in strictest confidence any discussions and written correspondence that warrant such discretion.



Communications:                                                                         
Compose, design, edit and produce written material for the department website, social media, correspondence for the AD/DC, reports, flyers, and announcements for special programs, seminars, events, grant proposals, and manuscripts for the AD/DC and faculty within the Department.  Coordinate planning and preparation for special events – including the department’s Open House and department-wide events.



Graduate School and Student Support:                                   
Work with the Graduate School Director and UM’s Graduate School to plan and assign Graduate courses offered in the department and ensure that course listings and descriptions are posted in Testudo, SIS (Student Information Systems), and on the department website.



Faculty Support:                                                                  
Coordinate all aspects of the Appointment, Promotion, and Tenure (APT) process; understand all deadlines and requirements of the dossiers for the Provost’s Office.  Coordinate all faculty searches to include communication with the search committee and candidates, arrange travel, and coordinate schedules during a visit to the department.



Other Duties as Assigned:                                                   
Serve as a resource for the AD/DC, faculty, staff, and students in matters pertaining to the smooth and efficient operation of the department. Other duties as assigned/required by the department.

Minimum Qualifications

MINIMUM QUALIFICATIONS:

• Education: Bachelor’s degree from an accredited college or university.

• Experience: One (1) year of professional administrative or coordinator experience.

• Other: Additional work experience as defined above may be substituted on a year for year basis for up to four (4) years of the required education.

KNOWLEDGE, SKILLS, ABILITIES:

• Knowledge of best practices in organization, administration, and customer service.
• Knowledge of proper protocol in dealing with confidential information.
• Skill in oral and written communication.
• Skill in the use of Microsoft Office products.
• Ability to interpret and apply policies, procedures, regulations, and laws.
• Ability to multitask while demonstrating a commitment to customer service and sensitivity to a culturally and ethnically diverse community.
