A Sr. Administrative Assistant job is available with the City of Fort Worth Transportation and Public Works Department - Business Support Division.

We are seeking a highly skilled Sr. Administrative Assistant to provide high-level administrative support with a focus on complex fiscal tasks, budget analysis, and project coordination. This role requires strong organizational skills, attention to detail, and a solid understanding of government purchasing procedures, municipal accounting practices, and applicable federal, state, and local regulations. The ideal candidate is proactive, adaptable, and capable of handling shifting priorities in a fast-paced environment.

Minimum Qualifications:Β 

  • Bachelor’s degree from an accredited college or university with major coursework in public administration, business administration, human resources or a related field.
  • Three (3) years of increasingly responsible administrative and fiscal management experience in support of a department, division, or major service area.
  • One (1) year in a supervisory or lead capacity.

Preferred Qualifications:

  • Experience with municipal accounting and budget processes.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Experience with PeopleSoft (ERP Financials, Purchasing, HCM).
  • Experience in municipal or public sector settings, with knowledge of operations, policies, and procurement processes, including purchase orders and contracts.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with advanced skills in Excel for data analysis and reporting.
  • Excellent written and verbal communication skills, with the ability to prepare reports, presentations and correspondence.

The Sr. Administrative Assistant job responsibilities include:Β 

  • Provides financial and general ledger support by entering GL journal and budget transfer entries, recording receivables for multi-phase capital projects, and managing Combo Code Requests. Supports capital project close-outs and capitalization through accurate financial documentation and reconciliation.
  • Supports procurement and contract processes by managing contract routing requests, purchase orders, and RFQ advertisements. Assists with RFPs and participates in pre-bid conferences to facilitate vendor communication and compliance.
  • Review technical documents related to purchasing and contract procedures to ensure they comply with established policies and accuracy standards.
  • Manages project oversight by performing research, maintaining up-to-date records, and providing regular status updates. Manages cost tracking through the eBuilder or C620 Pay Applications systems, assists with project close-out documentation, and serves as the primary author for Mayor & Council communications related to assigned projects and initiatives.
  • Evaluate current processes and workflows, identifying opportunities for improvement, and recommend changes to streamline operations and increase efficiency.
  • Participate in special projects as assigned, providing support where needed.
  • Supervise staff by assigning tasks, providing training, and conducting performance evaluations.
  • Serve as a backup for other staff positions, as needed, ensuring continuity of operations.
  • Assists in the preparation, development, interpretation, and implementation of City and departmental program standards, policies, and procedures.
