Summary
TCH - Anesthesiology is seeking a Coordinator, Business Operations to provide administrative support to the department by coordinating anesthesia service schedules, department meetings, calendar management, and processing expense transactions.
Job Duties
• Provides daily administrative assistance to assigned anesthesia faculty members, including scheduling meetings, submitting expense requests; hospital privileges and credentialing renewals.
• Assists with coordinating faculty or staff interview itineraries for department recruitment efforts.
• Assists with training new administrative support team members with regards to submitting expense transactions in Concur, SAP, and Jaggaer.
• Submits expense transactions in Concur and Jaggaer. Records all expenses in interdepartmental expense tracking log. Follows up with AP for expense payouts and resolves issues with in the SAP system as needed to ensure timely payments.
• Maintains and orders general office supplies.
• Updates global email distribution lists as required.
• Coordinates the weekly Pediatric Cardiovascular Anesthesiology (PCVA) Faculty and Fellows Conference including setting up zoom links, email invites.
• Maintains Continuing Medical Education (CME) Accreditation for weekly PCVA conference; ensures that speaker disclosure forms are distributed, signed and received; creates CME flyer with speaker and topic information, obtaining CME approval of flyer to distribute to attendees prior to meeting. Distribute meeting QR code/tracking information provided by CME office to attendees so that they may report their attendance. Records faculty meeting attendance into departmental meeting attendance tracking log.
• Maintains department Sharepoint team site including updating documents and access.
• Coordinates faculty hospital access CV Anesthesia faculty/staff such as computer access, TCH badge, radiation badges, Epic Access, Voalte setup, pager access, ordering business cards, white coats, and office set up for assigned faculty as needed.
• Assists manager with reviewing travel requests and reimbursements as needed to ensure expenses are with in travel policy limits.
• Troubleshoots with IS or facilities with office needs as required.
• Cross covers with other administrative team members in department as needed.
• Assists with department lunches, events, and department visitors as needed.
• Picks up or deliver documents to main BCM campus as needed.
Minimum Qualifications
- High School diploma or GED.
- Two years of relevant experience.
Preferred Qualifications
- Five years secretarial experience.
- Experience in an academic healthcare environment preferred.
- Dependable, self-starter, ability to work independently and collaboratively.
- Strong oral and written communication skills, ability to work on a team and independently; organized, takes initiative; professional, will communicate with staff, faculty, nursing staff, trainees, fellows and management level employees. Ability to adapt to the diverse departmental administrative needs.
