This role is hybrid in our Plano, Texas office. Tuesday - Thursday in office

Role Description:

Provide administrative support to several executives who are direct reports to members of the Management Committee. Coordinate communications between executive and external contacts as well as internal staff. Maintain confidential information. Manage executive calendar and arrange meeting schedule. Make travel arrangements. Prepare presentation materials, communications and complex reports. Handle administrative management of budget and approve limited expenditures. Manage space planning and allocation for staff in multiple locations. Job requires a High School diploma or equivalent experience/combination of education and experience from which comparable knowledge and skills may be acquired, ten years administrative experience including experience supporting executive level management and advanced skills in use of Microsoft Office software.

Quality Control and Operational Risk Management leads quality control activities associated with new loan purchases and the centralized operational risk management function for the division. The team identifies, assesses, monitors and manages risks associated with Single-Family Seller/Servicers.

Your Impact:

  • Anticipate and proactively manage communications and scheduling for the executives you support
  • Exercise good judgment in a variety of situations and prioritize multiple demands in a fast-paced and constantly changing environment
  • Use discretion and judgment to manage complex and dynamic executives’ calendars to ensure their time is being used efficiently, including scheduling meetings with internal and external business partners (e.g., FHFA, Vendors, Townhalls, etc.), and providing accountability for any post-meeting activities
  • Make travel arrangements and maintain travel and expenses within allocated budgets and timelines
  • Provide oversight, management, and tracking of key deliverables and assignments due to and from senior management to ensure all timelines are met
  • Maintain confidential information; may monitor executives’ email, when requested, for time-sensitive and/or critical correspondence and issues
  • Prepare correspondence, presentation materials, communications, and reports
  • Provide space planning and management for the department
  • Manage employee engagement activities for the Dallas location

Qualifications:

  • 8-10+ years of administrative experience including executive administrative support
  • High school degree or equivalent work experience
  • Highly proficient computer skills with the Microsoft Office suite (Word, PowerPoint, Excel), to include Outlook and SharePoint
  • Ability to function autonomously and proactively, working independently on assignments with minimal oversight and superb level of organization
  • Detail oriented with sound judgment, tact, diplomacy, and discretion
  • Ability to effectively multi-task in a dynamic environment
  • Ability to collaborate effectively with colleagues at all levels across the enterprise
