We are seeking a Legal Administrative Assistant to assist attorneys in the areas of real estate (residential/commercial), family law, trusts and estates, public policy, corporate/tax and litigation. The candidate will be responsible for assisting in day-to-day operations of attorney practices, including carrying out administrative services and ensuring that attorneys are able to provide exceptional service to their clients. The ideal candidate will have at least 3 years of related legal experience, a strong work ethic, exceptional problem-solving skills, and be comfortable working in a fast-paced and dynamic workplace.
This position will be working full-time in our Dade City, Florida office.
FLSA Status: Hourly Non-ExemptJob Classification: Reports and is responsible to the Litigation Department Administrator(s) and all attorneys within the department(s). Primary Responsibilities:
- Maintains regular and punctual attendance
- Writes, proofreads, sends, files, and manages correspondence, memos, pleadings, contracts, forms, indices, and other related documents
- Receives, reads, and routes incoming mail
- Answers multi-line telephone and routes calls to appropriate members within the organization
- Manages appointments, calendars relevant deadlines, and maintains updated contacts
- Manages multiple time-sensitive projects and applies various procedural guidelines of differing jurisdictions
- Keeps cases ordered by establishing and organizing files; monitoring calendars; meeting deadlines; documenting actions; inputting information into file database and case management software; confirming case status with attorney
- Tracks case costs by verifying outstanding balances with attorney, clients, and providers
- Supports case preparation by organizing case summaries and materials for mediation conferences; preparing pleadings; monitoring and obtaining discovery responses; organizing materials for team case review
- Helps develop cases by maintaining contact with parties involved including, but not limited to scheduling depositions; preparing and forwarding summonses and subpoenas; drafting complaints; preparing and filing discovery requests; preparing responses to opposing counsel; as well as generating status reports
- Keeps clients informed by maintaining contact; communicating case progress
- Performs other work-related duties as assigned and appropriate for specific area(s) of law as assigned
- Assists other legal administrative assistants as needed with workload
- Updates job knowledge by participating in ongoing educational opportunities
- Furthers organization goals by accepting ownership for accomplishing new and different requests as well as exploring opportunities to add value to job accomplishments
Education, Experience and Skills:
- Minimum of high school diploma required
- 3+ years of corporate, litigation and/or real estate legal experience preferred
- Strong technological skills including proficiency with Microsoft Office applications, Nuance PDF and practice management systems, portals and technologies
- Superior research and reporting skills, including the use of online services, databases and the Internet
- Project management skills including a strong aptitude for managing and prioritizing multiple projects and deadlines
- Excellent written and verbal communication skills as well as analytical, problem solving and decision-making skills
- Ability to work independently, stay organized and maintain a high degree of confidentiality
Physical Requirements:
- Sitting frequently, six out of eight hours per day
- Sitting position static for up to one-half hour at a time
- Lifting and carrying up to 20 pounds occasionally, up to one hour per day
- Bending and stooping occasionally, up to one-half hour per day
