Overview
The Division of Student Success seeks an experienced and professional staff assistant providing support for the Office of the Vice President for Student Success and the Office of Student Conduct and Community Standards. This position provides high-level administration and operational support including front desk support for two offices, management of daily office operations, point of contact for visitor reception, and a high level of customer service.
Responsibilities
- Performs office duties, including answering phones, directing calls to appropriate parties, data entry, filing, and handling general inquiries.
- Provides administrative support, including scheduling appointments, coordinating meetings/conferences, and maintaining/ordering office supplies.
- Serves as a liaison with other departments and constituencies in the resolution of matters concerning the activities and operations of the department.
- Greets and directs visitors.
- Sorts, screens, and distributes incoming and outgoing mail.
- Serve as the primary, welcoming point of contact for the office, greeting all students, parents, faculty, staff, and visitors warmly and professionally.
- Office of Student Conduct Support: Provide clear, helpful orientation to visitors to the Office of Student Conduct regarding the conduct process, timelines, and next steps, without discussing the specific merits or facts of open cases. Assign conduct cases in Maxient.
- De-escalate anxious or distressed visitors at the front desk with a calm, empathetic, and professional demeanor, directing them to appropriate resources or staff members as needed.
- Submit office receipts for processing.
- Performs miscellaneous job-related duties as assigned.
Qualifications
Minimum Qualifications:
- Two years of experience; or an associate degree/technical training; or an equivalent combination of education and experience is required.
Preferred Qualifications:
- Advanced skill with Microsoft Office applications
- Experience working in higher education
- Experience working as an administrative assistant
- Knowledge of USU’s enterprise systems (e.g., Banner, Servicenow, Box)
Knowledge, Skills, and Abilities:
- Excellent organization, time management, and attention to detail
- Advanced written and verbal communication skills
- Excellent customer service and interpersonal skills
- Ability to handle confidential information with discretion
- Proficiency with computers and standard office software, technology, and equipment
- Creative problem-solving and critical thinking skills
- Knowledge of University policies and procedures
- Ability to work without supervision

Advertised Salary
Minimum $43,000; commensurate with experience plus excellent benefitsADA
Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes. The employee is regularly required to sit and often uses repetitive hand motions.
