Job Title: Executive Assistant to Senior Executives
Work Schedule: Monday to Friday, 8:30 AM – 5:30 PM (AEST), 1 hour of unpaid break daily

Role Overview:
We are seeking a highly organised and self-motivated
 Executive Assistant to provide full-time administrative support to two senior executives. The ideal candidate is a proactive, results-driven professional who thrives in a fast-paced, high-performance environment. This position requires exceptional time management, communication, and coordination skills.


Key Responsibilities:

  • Manage high-volume email inboxes, including drafting, organising, flagging priorities, and ensuring timely follow-ups.

  • Maintain and coordinate complex schedules and executive calendars with accuracy and flexibility.

  • Organise, prepare, and coordinate meetings, events, and appointments, including sending reminders and preparing relevant materials.

  • Attend key meetings, take detailed minutes, and distribute action items or summaries as needed.

  • Handle all travel bookings and related arrangements (flights, accommodation, itineraries, etc.).

  • Assist with proofreading and reviewing documents and communications.

  • Prepare and manage executive expense reports in a timely and accurate manner.

  • Provide general administrative support and handle ad hoc requests with minimal supervision.


Required Skills & Qualifications:

  • Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative support role (minimum 3 years preferred).

  • Outstanding time management and organisational skills; able to juggle multiple tasks for multiple stakeholders.

  • Excellent written and verbal communication skills, especially via email and over the phone.

  • Advanced proficiency with calendar management tools, Microsoft Office (especially Outlook, Word, and Excel), and collaboration platforms like Zoom, Google Workspace, Trello, or Asana.
