Job Summary:

Actively supports the research area of the Divisions General Internal Medicine and Geriatric Medicine (faculty, post docs, trainees, and research staff) by working collaboratively with the Research Administrator and Division Administrators to ensure compliance and effective oversight of federal and non-federal funding sources.

The Division of General Internal Medicine and Public Health within the Department of Medicine at Vanderbilt University Medical Center is committed to providing excellent care for patients and improving community health.

Nearly 400 faculty members and advanced practice providers within 10 sections care for a large patient base, play an essential role in the training of new physicians, and contribute to a robust research portfolio.

The Division of General Internal Medicine and Public Health has seen remarkable growth over the past decade. Meeting the demands of the growing Nashville community, the division has led a massive expansion in primary care services.

Together, our team reached nearly 370,000 outpatient and 14,000 telehealth visits last year.

Our care does not stop in the outpatient arena. Hospital medicine is a rapidly growing section, accounting for the vast majority of nearly 80,000 inpatient encounters.

KEY RESPONSIBILITIES

  • Liaison to the sub awardees – Communicate, track and request invoices.
  • Review invoices for accuracy and resolve issues with Sub-awardees institutions.
  • Process invoices for approval and payment in Workday and update tracking sheets to reflect current totals.
  • Compile and analyze financial information for Principal Investigators (PIs) routinely
  • Support the admin team for federal and non-federal grant and endowment closeouts.
  • Submit PCAs/PAAs for Internal Medicine and Geriatrics employees and track effort for certification.
  • Supports effort reconciliation and compliance for Faculty with guidance from AO
  • Prepare and submit cost share corrections for VA/VUMC employees.
  • Prepare and submit accounting adjustments, and revenue reallocations for cost share.
  • Develops projections to model the financial impact of programs and projects.
  • Manage financials responsibilities for Center Grants, analyze budgetary data, verify figures, and develop budget proposals; recommend allocation of budgetary funds based on the Notice of Grand Award, prepare sub award and RPPR budgets, and prepare carry forward budget allocations. Full responsibility for planning, forecasting, and final approval of budget by PI.
  • Designs, develops, and modifies financial forecasting models and simulations for programs. Accumulates and analyzes data from existing or established databases.
  • Monitor expenditures against budget; prepare necessary documentation for supervisory review/approval; tabulate budgetary data, calculate figures, and check for accuracy.
  • Analyze budgetary data, verify figures, and develop budget proposals; recommend allocation of budgetary funds.
  • Support Admin team for planning, forecasting, and final approval of center budget.
  • Support with reporting monthly balances and responding to inquiries regarding gift, endowment, residuals and APS centers.
  • Communicate with VA regarding, grants and IPA, budgeting, and expenditure tracking.
  • Enter and maintain budgets in Workday, track overage and take necessary action to correct.
