How will you contribute to the team?
- AtkinsRéalis is currently seeking a Senior Administrative Assistant to join our team in the Moving I-4 Forward Program Office in Celebration, FL. This position will report to the Program Office in Celebration, FL 5 days a week.
- As part of the team, you'll serve an integral role on the program by providing administrative and project support to senior leaders within the program.
- You will be coordinating and scheduling meetings and appointments for senior leaders, including attendance at external events; preparing reports, meeting minutes, presentations, agreements and contract documents; coordinating and booking travel and assisting in preparing and submitting expense reports; maintain electronic and physical files; providing mentorship and guidance to other administrative and support staff; and serving as a point of contact and resource for visitors.
What will you contribute?
- Bachelor's degree in Business Administration, plus ten years' experience. Without a degree, requires fifteen years' experience in progressively responsible administrative work.
- Possess advanced knowledge of administrative duties, coordination of complex projects and events, and Microsoft Office.
- Possess exceptional oral and written communications skills, as well as attention to detail, and strong organization and prioritization.
- Have the ability to effectively interact with and build relationships with clients, customers, contractors, and other key stakeholders.
- Creates and modifies documents utilizing Microsoft Office – Word, Excel, and PowerPoint.
- Answers phones: provides back-up to receptionist or screens calls for employee(s)/manager(s) supported.
- Handles all general clerical duties, i.e., photocopying, faxing, filing, mailing.
- Processes outgoing express mail/UPS packages.
- Sets up and coordinates meetings for office staff.
- Makes travel arrangements for senior staff.
- Makes appointments and manages senior staff calendars.
- May help with business functions, e.g., planning and setting up room for meetings, luncheons, or presentations.
- Processes vendor invoices and employee expense claims to be sent for payment by AP.
- Maintains recurring internal reports, such as timesheets, overtime logs, etc.
- May enter data into electronic spreadsheets or databases.
- May do light bookkeeping and other basic accounting-related or project-related tasks.
- Performs such other assignments as the Supervisor may deem necessary from time to time.
- Local travel may be required. If travel is required and no company vehicle is available, the use of a personal vehicle may be required. The incumbent must have a valid driver’s license and a driving record that meets company policy. The vehicle must be in good working order and insured. Mileage reimbursement allowance will be available.
- Must be highly articulate, have clear and analytical approach to problem solving, and good decision-making abilities. Must have excellent communication and presentation skills.
- Must have demonstrated organizational skills; the ability to provide complex, confidential administrative support in a high-profile environment with tact and diplomacy; the ability to work with multiple deadlines and multiple priorities; the ability to work across a variety of projects and with diverse constituencies; and flexibility, adaptability and the ability to work in a changing environment.
- Must thoroughly understand and utilize Information Technology in the performance of work including Internet, Intranet, Microsoft Windows OS, Adobe Acrobat, Microsoft Office Suite and Microsoft Project.
