Overview

The Brown Palace Hotel and Spa is looking for a Food & Beverage Coordinator to organize events and large parties for our banquets and events department. The main responsibility includes every aspect of event preparation to ensure the events run efficiently for both guests and staff. You must be well-organized and able to communicate with customers with strong attention to detail.

 

Salary Range ($22/hr - $22/hr)

Responsibilities

  • Serve as the primary point of contact for all guest communication, delivering timely, polished, and personalized service.
  • Manage inbound guest inquiries, including reservation coordination, event attendance, and general information requests.
  • Coordinate communication for recurring guest events, including email invitations, RSVP tracking, and reminders.
  • Support the guest process by responding to new inquiries and assisting with application follow-up.
  • Maintain accurate guest profiles and preferences in ensuring up-to-date contact details and notes.
  • Speak with guests requiring any special dining reservations over 20 people
  • Coordinate Time elements of the activities
  • Coordinate Food and Beverage Options
  • Coordinate any Audio Visual or entertainment options with the Director of Restaurants and Guests for pricing
  • Discuss payment methods including deposit for these reservations
  • Maintain a calendar of BEOs for the Food and Beverage Team
  • Also send an email with the attached BEO to Crescent Food and Beverage Team
  • Communicate 72 hours prior to the event to discuss the exact number of attendees and changes
  • Call guest back that would have required information concerning the restaurant. 
  • Gather all information listed on the Banquet Event Order Form
  • Send customized Food and Beverage menus for the group to the client for them to review
  • Build a Banquet Event Order Form based on client information, pricing, menu options, special requirements, deposit, and final payment options.
  • Send client completed form for them to sign
  • Send Link for deposit and final payment
  • Send a signed copy of the Banquet Event Order to the Food and Beverage Team and attach it to their calendars of high importance and 24-hour alert for the event.
  • Also send a separate email attaching the BEO for them to review, print, and post in their areas.
  • Attend and participate in daily pre-shift meetings.
  • Participates in any training sessions or departmental meetings.
  • Maintains guest relationships to promote repeat business.
  • Implement quick and efficient decisions based on guest and/or banquet needs.
  • Awareness of all guests’ needs, reservation needs, and restaurant needs. 
  • Creates and maintains a database with local concierges.
  • Utilizes Resy to the best of its capacities.
  • Maintains integrity of service
  • Helps the flow of traffic in and out of the restaurant.
  • Engages guests, and acts as an ambassador of the restaurant in both personality and knowledge.
  • Interacts with guests as they arrive and as they leave the restaurant to ensure a positive dining experience.
  • Performs other duties as directed.
