The Fleet Operations System Administrator is responsible for managing and maintaining the systems and processes that support the company’s fleet of over 3500 assets, including medium-duty trucks, forklifts, and Podzilla fleets. The role includes oversight of key fleet administration tasks such as user management, data reconciliation, regulatory compliance, and fuel card administration. This position will work closely with the Director of Fleet Operations to ensure operational efficiency, cost-effectiveness, and regulatory compliance.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

·       Fleet System Administration

o   Administer fleet management systems (Samsara & Whiparound), including adding/removing users and reconciling fleet assets.

o   Manage updates and ensure data integrity within the GPS tracking and DOT inspection/maintenance systems.

·       Fuel Card Administration

o   Add drivers and assign PIN numbers.

o   Reorder lost or stolen fuel cards.

o   Audit fuel transactions to identify fraud and anomalies.

·       Toll Account Administration

o   Assign transponders to vehicles and track removal as needed.

o   Reconcile toll transactions and audit for discrepancies or fraud.

·       Regulatory Compliance

o   Stay updated on California CARB regulations and ensure the fleet complies with current and future requirements.

o   Administer WAIRE program compliance related to warehouse regulations in California.

·       Expense Management & Auditing

o   Organize and streamline the invoicing process for fleet-related expenses.

o   Conduct periodic audits to identify anomalies and ensure contract compliance.

·       Title & Licensing Administration

o   Manage title, licensing, and registration for the medium-duty truck fleet.

·       IFTA Fuel Tax Reporting

o   Administer IFTA fuel tax reporting for operations across the U.S. and Canada.

·       Wheeled Fleet Administrative Support

o   Handle permits for IFTA, CVED, HUT, and vehicle weight.

o   Coordinate driver travel to assist in various markets as needed.

o   Manage insurance and registration for the fleet in the U.S. and Canada.

·       Parts Ordering & Vendor Management

o   Order parts from national account vendors and oversee deliveries.

·       Data Collection & Reporting

o   Compile and analyze large datasets
